We are looking for a highly organised and proactive Executive Assistant to provide comprehensive support to our CEO and Executive Board. This is a pivotal, fast‑paced role at the heart of Vadella’s leadership, requiring someone who can anticipate needs, operate with discretion and keep things running seamlessly behind the scenes.

What You’ll Be Doing

  • Provide day‑to‑day administrative support to the CEO and Executive Board
  • Manage complex diaries, including scheduling meetings, booking travel and accommodation and coordinating across time zones
  • Oversee inbox management, triaging and ensuring timely responses
  • Prepare agendas, presentations, and decks ahead of meetings and events
  • Track meeting actions through to completion
  • Manage and process expenses on behalf of the CEO
  • Oversee the Colleague of the Week nomination process, ensuring it runs smoothly and consistently
  • Manage the Ideas Inbox, organising and tracking submissions
  • Plan and coordinate internal and external events from inception to delivery, including monthly operational meetings, 1‑2‑1s and more
  • Organise field visits for the Vadella Senior Leadership Team, ensuring they know who they are meeting, where and when
  • Organise and execute induction processes for central team members

Strategic Thinking

  • Think ahead to anticipate potential risks and logistical challenges, putting mitigations in place before issues arise
  • Act as a trusted partner to senior leaders, enabling them to focus on high‑priority work
  • Build strong working relationships with leaders across the business, becoming the eyes and ears of the CEO

What We’re Looking For

  • Proven experience as an Executive Assistant or in a senior PA role
  • Exceptional organisational skills with a strong attention to detail
  • Ability to manage multiple priorities in a fast‑paced environment
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and presentation tools
  • Discreet, professional, and confident when dealing with sensitive information
  • Proactive and solutions‑focused mindset
