£36,000 per annum

Working Pattern

40 hours per week, 08:00am – 17:00pm / 08:30am – 17:30pm

Key Responsibilities

  • Have an operational knowledge of all reception services and standard operating procedures, together with in‑house meeting reservations procedures, switchboard, AV and other internal/external communications methods.
  • Welcoming and greeting clients, guests, and visitors in a professional, friendly manner.
  • Delivering a high‑quality, five‑star reception and customer service experience.
  • Managing front desk operations (guest arrival, calls, emails, visitor logs, access control).
  • Acting as the first point of contact for client queries and resolving issues quickly.
  • Supporting VIP visitors, meetings, and high‑profile events.
  • Ensuring meeting rooms and reception areas are always presentable and well‑prepared.
  • Coordinating with security, facilities, catering, and workplace teams for smooth operations.
  • Supporting and guiding junior reception team members during shifts.
  • Assisting with training, onboarding, and daily coaching of reception staff.
  • Monitoring service standards and helping maintain consistency across the team by leading by example and coaching on five‑star standards.
  • Supporting rota coverage, shift coordination, and handovers when needed.
  • Providing proactive service (anticipating guest needs before they arise).
  • Empathy, excellent customer service and practical skills.
  • Skilled in guest/client service and confident in striving for excellence.

Main Duties

  • Ensure the hospitality experience for staff, clients and visitors to the client site is of the highest standard from arrival at landlord reception to the client floor.
  • Ensure the client/visitor experience is best in class, from arrival at reception to the client floor.
  • Ensure all guest‑facing premises and meeting rooms are maintained to a high standard and maintenance issues remedied.
  • Operational knowledge of all reception services and standard operating procedures.
  • Liaise with PAs and Coordinators with the support of all meeting room bookings.
  • Managing any content (both digital via our digital signage system X20 and manually) displayed across the assigned premises, ensuring these are up-to-date and in line with JLL’s branding guidelines.
  • Develop and maintain strong relationships with corporate clients, internal operational departments and other stakeholders.
  • Continuously assess client feedback and implement improvements to enhance service quality.
  • Check that room allocation and set‑ups are conducted competently, with particular regard to special meeting requests, VIP visitors, etc.
  • Ensure the reception area is clean and tidy at all times, and that maintenance issues are reported and followed up appropriately.
  • Represent the business with your appearance reflective of the agreed uniform guidelines.
  • To ensure that visitors and staff receive VIP customer service at all times, providing a warm, courteous, and prompt welcome on arrival for all.
  • Liaising with clients and providing excellent customer service – going the ‘extra mile’ when the opportunity arises.
  • To anticipate client needs, follow up with clients and ensure that client expectations are met and where possible exceeded.
  • To ensure that visitor and client arrivals are communicated to the relevant people promptly and that the visitor/client is either met or escorted to the relevant room/area in a timely fashion.
  • To ensure that waiting visitors are kept informed of any delays and progress and to ensure they are comfortable.
  • Handle all incoming telephone calls/enquiries promptly giving a warm, courteous welcome and using the agreed solution.
  • To oversee and handle room bookings and to liaise with catering team when required.
  • AV duties / setting‑up Teams and checking AV equipment.
  • Organise access passes for visitors and staff members.
  • Ensure all attendees are indicated on booking system for the following day.
  • To liaise with IT to ensure that all Audio‑Visual equipment is working, and the relevant client requirements have been accommodated.
  • To ensure that a handover is completed with catering team.
  • Receiving guests, announcing them, and offering cloakroom facilities and beverages/refreshments if they are to be kept waiting. Communicating if their host is to be delayed.
  • Adhere to agreed KPIs and go above and beyond the job description to exude excellent service.
  • Communicating any relevant updates.
