Our client is looking for a highly adaptable and dependable Part-Time Business Coordinator to join a busy operational team on a temporary basis for approximately nine months, covering maternity leave. This is a varied part-time role offering a good mix of administration, purchasing support, invoicing, document control and general office coordination. As the successful candidate will need to get up to speed quickly, this opportunity would suit someone who is confident stepping into a busy environment, able to learn new processes promptly and comfortable adapting as priorities change.
Key Responsibilities:
- Providing general administrative support to the wider operational team
- Answering incoming telephone calls and taking or passing on messages
- Preparing, checking and submitting customer invoices
- Updating records once customer orders have been completed
- Filing and archiving documentation accurately
- Obtaining supplier quotations and raising purchase orders for general supplies
- Following up outstanding purchase orders and highlighting delays or discrepancies
- Scanning and maintaining delivery and traceability documentation
- Helping to keep stock records up to date
- Arranging courier collections and deliveries when required
- Supporting holiday and absence administration
- Assisting with the organisation of meetings
- Providing additional office cover during periods of holiday or sickness
There is also scope for the role to include some basic accounts support for someone with suitable bookkeeping experience, such as purchase invoice processing, resolving invoice queries and assisting with sales ledger follow-up.
The ideal Part-Time Business Coordinator will have:
Essential:
- Previous office administration or business support experience
- Good working knowledge of Microsoft Office
- A highly adaptable approach and the confidence to pick up new processes quickly
- Strong attention to detail and a high level of accuracy
- Confident written and verbal communication skills
- The ability to organise a varied workload and work to deadlines
- A reliable, helpful and team-focused approach
- Availability to start within the next couple of weeks to complete a handover
Desirable:
- Previous experience using an ERP or MRP system
- Basic bookkeeping or accounts administration experience
- Experience supporting purchasing, invoicing or stock-related administration
