About The Role

This position will work closely with Interior Designers and Senior FF&E Procurement Manager to maintain FF&E budgets, project procurement, supply chain, logistics and project installations. We are seeking a highly organized and experienced FF&E Supply Chain Project Manager to oversee the full logistics, quality control, and delivery process for a luxury residential hospitality project in Brazil. This role is responsible for managing production follow-up, factory coordination, inbound logistics from multiple regions (Brazil and Europe), storage operations in Preá, and final-mile delivery into Jericoacoara—an area with challenging access conditions. The ideal candidate has strong project management skills, experience in complex supply-chain environments, and the ability to work collaboratively with vendors, factories, construction teams, installers, and logistics partners.

Key Requirements

  • Mid–Senior role overseeing end-to-end FF&E supply chain for a luxury hospitality project in Brazil
  • Responsible for factory supervision, quality control, and production sign-off (Brazil & Europe)
  • Manages storage operations in Preá and all inbound logistics
  • Coordinates last-mile delivery into Jericoacoara with specialized 4x4/off-road vehicles
  • Oversees inventory accuracy, documentation, dispatch & receiving
  • Plans and supervises loading/unloading, equipment rental, and batch delivery scheduling
  • Works closely with Construction for delivery timelines, site readiness, and installation planning
  • Supervises Utopia-hired installers to ensure deadlines, quality standards, and contractual commitments

Responsibilities

  • Production Oversight & Quality Control
    • Supervise FF&E production at each factory (Brazil & Europe).
    • Conduct detailed quality checks and approve inventory before packing and sign-off.
    • Ensure all items meet Utopia’s standards for quality, specifications, and finishes.
  • Inbound Logistics & Storage Management
    • Monitor and confirm the arrival of goods at the Preá storage facility.
    • Arrange and oversee loading/unloading operations at all locations.
    • Hire necessary local equipment or machinery as required.
    • Maintain a full, accurate, and continuously updated inventory of all items.
  • Documentation & Compliance
    • Handle all dispatch, receiving, and transport paperwork.
    • Ensure complete documentation for internal controls and auditing.
  • Delivery Coordination & Final-Mile Logistics
    • Oversee delivery schedules from factories to Preá, ensuring timely arrivals.
    • Plan and manage logistics from Preá to Jericoacoara—including batch deliveries due to access restrictions (large trucks cannot cross dunes).
    • Hire and coordinate appropriate 4x4 or off-road trucks capable of operating in sandy conditions.
    • Supervise all loading/unloading operations for the Preá–Jeri transfers.
  • On-Site Coordination & Installation Support
    • Coordinate delivery timelines and equipment needs with the Construction team.
    • Organize and supervise unpacking activities.
    • Oversee Utopia-hired installation teams to ensure full compliance with contract requirements, deadlines, and quality standards.

Requirements

  • 5+ years of experience in FF&E logistics, supply chain management, project management, or procurement—preferably in hospitality or high-end residential projects.
  • Proven experience supervising factory production, performing quality checks, and managing sign-off processes.
  • Demonstrated ability to coordinate international and domestic logistics (Brazil + Europe preferred).
  • Experience managing storage facilities, inventory systems, and warehouse operations.
  • Solid track record overseeing loading/unloading operations, equipment rental, and transport coordination.
  • Hands-on experience with remote or difficult-access job sites (desert, beach, island, jungle environments are a strong plus).
  • Experience coordinating with construction teams, installers, and multiple vendors simultaneously.
  • Prior responsibility for delivery scheduling, documentation, and compliance.
  • Experience supervising installation teams is highly desirable.
  • Portuguese and English a must - any other language a plus.

Technical Skills

  • Strong knowledge of FF&E manufacturing processes, materials, finishes, and quality standards.
  • Proficiency in inventory management tools, tracking systems, and documentation workflows.
  • Understanding of logistics planning, especially final-mile or off-road delivery constraints.

  • Strong reporting and documentation skills (photos, checklists, receiving logs, QC reports).
  • Ability to read technical documents (spec sheets, shop drawings, BOQs).
