Incumbents in the Academic Advisor Coordinator position advise prospective, current, and former students within a specified undergraduate academic department. They assist students in the development of academic plans and class schedules, assess academic levels, attend to student inquiries, resolve individual academic problems, and advise on program changes. They prepare students’ graduation applications for Dean approval in DegreeWorks and assist with semester-by-semester planning for declaring a major.
The Academic Advisor Coordinator is distinguished from the Academic Advisor as they use data analytics to identify and develop proactive interventions to help students persist from semester to semester to complete degrees.
Reporting and Supervisory Responsibilities: The position is supervised by the Director of Advising and Student Services who will conduct performance evaluations.
Responsibilities:
- Provides advising services in person, through video conferencing, or by email.
- Provides accurate information related to curriculum, graduation requirements, and university policies and procedures.
- Creates semester-by-semester graduation plans in DegreeWorks and monitors students’ progress toward their declared major.
- Assists local high school students with concurrent enrollment registration, including technical education.
- Provides information and strategies to utilise available campus resources and services.
- Maintains confidentiality.
- Assists students in making responsible and informed decisions impacting academic progress.
- Encourages and guides students as they define and develop realistic goals.
- Assists students in understanding the purpose of higher education and its impact on life goals.
- Discusses the benefits of building a learning community, network, and support system among peers, professors, and mentors.
- Makes appropriate referrals to other University and non-university resources.
- Maintains records and documentation of advising interactions.
- Assists in developing and updating yield communication plans.
- Assists in building communication planning for local concurrent enrollment students and ensures communication is sent regularly to registered students and high school counselors.
- Represents the advising department as needed.
- Updates and revises online orientation modules as needed for USU Eastern.
- Serves as yield outreach lead for the A-Team.
- Attends required A-Team meetings to provide support and training to student workers, including their online training modules in Canvas.
- Performs miscellaneous job-related duties as assigned.
Qualifications:
Minimum Qualifications: Bachelor’s degree plus two years of relevant experience is required.
Preferred Qualifications: Experience working with high school staff or students, Banner or Argos training, Master’s Degree.

- Ability to work independently, build relationships with external units, speak in front of large audiences, and communicate institutional policies, procedures, and language to the general population.
- Knowledge and understanding of a specialized area/program/process of advising.
- Ability to develop content, programs, and services for targeted areas of coordination.
- Ability to lead training and day-to-day efforts of co-workers around mission-critical initiatives.
- Ability to make complex decisions, identify issues within areas of coordination, problem-solve, resolve, and communicate issues and their resolutions with advisors and administrators.
- Ability to assess the success of programs/coordination areas and manage budgets.
- Ability to use professional judgement in ambiguous situations.
- Verbal and written communication skills and effective public speaking skills including ability to communicate with individuals as well as groups.
- Ability to work in a fast-paced environment with multiple demands and changing needs while collaborating within a team environment.
- Ability to work with students in 1:1 or group advising settings.
- Ability to learn and maintain current knowledge of complex program requirements, policies, and procedures.
- Ability to work with a broad range of student backgrounds.
- Ability to develop and/or deliver programs.
- Knowledge of and proficiency in a variety of current and emerging technology platforms.
