Job Description
Responsible for co-ordinating with the line managers the complete colleague life cycle which includes recruitment, induction, probation, as well as the absence management, leavers process and monthly reporting. To work on various programmes and projects including coordination and administration of Learning & Development, Future Talent programmes, Talent and Succession planning using core HR/Finance systems as well as working with the wider HR team on various projects.
Role & Responsibilities
- Administering and supporting users and stakeholders on the in-house Learning (Talentsoft) and Recruitment (Smartrecruiter ATS) platforms. Fully utilising and optimising the applicant tracking system (ATS) in monitoring effectiveness and ensuring managers are actively managing the candidates and recruitment of the right person for a role in a timely manner.
- Carrying out the complete administration of the following processes:
- Onboarding; support, deliver and administrate Group On Boarding processes from new joiner liaison, despatch of materials, scheduling events and stakeholders.
- Probation; send probation review reminders to managers, one month prior, for 1/3/6 months. On completion carry out the administration. Escalate within HR any cases for extension or unsuccessful completion.
- Leaver; on receipt of a resignation to liaise with the manager and ensure it is acknowledged, that managers action the leaver notification then to book and carry out the Exit Interview forwarding the feedback for action.
- Gain appropriate approvals for offers of employment and completion of the Change Form process.
- Raising Purchase Orders (POs) on receipt of invoices, Working Time Regulations (WTR) notifying managers of those in their team who opt out and issuing contracts of employment with new starter information.
- Carrying out the reference checks of all new starters and liaising with the Security Controller on DBS checks in line with the vetting BPSS escalating any anomalies that need further action.
- Follow-up with new starters on their completion of the e-learning modules to be completed within a timeline in Talentsoft.
- Maintain data on Talentsoft ensuring any changes are made in the system and Payroll are updated accordingly. Provide support when needed, with the preparation and delivery of the Performance Reviews via Talentsoft.
- Administer and be instrumental in the UTAC’s Future Talent Programmes through assessment centres to enhance the selection and full integration of participants. Working directly with Apprentices, Work Experience participants and business managers. Liaising with external learning providers and supporting and where necessary, the Under Graduate and Rotational Graduate programmes and Career Fairs.
- To administer the recognition programmes such as the Group’s UTAC Way Award and Anniversary Emails, and the UK’s Long Service Awards.
- Ensure good governance of HR, in areas such as, Induction, Future Talent Progammes, maintaining the headcount flat list, recruitment status, absence and performance, etc. To comply with the necessary standards and process, ensuring timely and accurate record-keeping and reports, as and when required.
- Support the development of strong communication and feedback channels with all staff and through a variety of mechanisms to support colleague engagement. This includes, on occasion, administering wellbeing initiatives linking topics to colleague benefits and posting agreed HR information on the intranet.
- Undertake the administration to support the team and ad hoc HR projects as necessary to improve the effectiveness of HR.
- Undertake other various projects and tasks as necessary.
- Act in accordance with the behaviours for UTAC staff at all times
Qualifications
Qualifications & Experience
- Level 3 CIPD qualification or equivalent
- Proficient in Microsoft Office applications
- Administration and governance of company-wide processes and systems
- Organising other people and working with a variety of stakeholders
- Maintaining standards, accurate records and timely reporting in accordance with due process
- Self-motivated and highly conscientious
- Strong written, verbal communication and interpersonal skills
