About us
UCL is a world-leading, global university with more than 51,000 students from 150 countries and over 18,000 staff. We pursue academic excellence, break boundaries and make a positive impact on real-world problems. We are ambitious for change and committed to taking ever bolder and more impactful steps towards becoming a more diverse, equitable and inclusive university.
Faculty Operations is a new division working across all 11 UCL Faculties. We help to improve faculty operations and ways of working, while preserving the academic excellence and flexibility that makes UCL distinctive. Working in partnership with Departments, Faculties and central services, we help translate UCL’s strategic priorities into practical operational delivery and bring greater consistency to the way we work.
We are now looking for an organised and proactive Operations Administrator to join our Faculty Operations team and play an important role in delivering an effective, efficient and customer-focused operational service.
About the role
As an Operations Administrator, you will provide day-to-day operational and administrative support, helping colleagues, students and visitors to have a positive experience at UCL.
You will act as a key point of contact for routine operational queries, using your knowledge and judgement to resolve enquiries or connect colleagues with the right specialist teams and central services. You will work across a varied portfolio of activities, including maintaining administrative systems and records, organising meetings and committees, coordinating room and catering bookings, raising requisitions and invoices, and supporting people-related administration.
You will also support internal events and communications, helping with everything from event logistics and liaising with speakers to drafting internal communications and maintaining SharePoint or website content. Alongside this, you will contribute to effective office and space management, including facilities, access, sustainability and workplace safety activities.
This is a varied role where no two days are likely to be the same. You will have opportunities to support one-off projects and initiatives, contribute to process improvements and use data to help inform operational activity. You will also provide cover for colleagues and support the team during periods of increased workload.
Please note, this role is offered on a full-time basis with hybrid working available at our London Kings Cross Office with currently a minimum of 2-days per week onsite (subject to change).
Job Ref: B01-05697
Closing Date: 19-10-2026 – 23:59 (UK time)
Interviews: Interviews will be scheduled from 9th Nov 2026
About you

You will bring strong administrative, interpersonal and problem-solving skills, with the ability to work independently while also contributing positively to a collaborative team. You will be comfortable adapting to changing priorities and using your initiative to find practical solutions.
You will have good IT skills, including experience using Microsoft Office, databases and web-based applications, and the ability to use and interpret data to support operational activities. Experience working in a Higher Education Institution or similarly complex organisation would be particularly valuable.
