Responsibilities:

  • Gracefully handle all incoming calls, connecting them to the right departments.
  • Promptly relay messages, especially those of urgency, to clinical teams.
  • Manage patient appointments with precision, ensuring their scheduling needs are met.
  • Keep a watchful eye on scheduling voicemails, confirming or arranging appointments.
  • Maintain provider schedules and respond to appointment alerts efficiently.
  • Master the in-house paging system and manage conference call setups.
  • Provide assistance and resolve issues related to our telephone systems.
  • Uphold a professional and supportive environment for every caller.
  • Perform clerical duties to keep our operations smooth and effective.
  • Adhere strictly to HIPAA and confidentiality regulations.

Qualifications:

  • A high school diploma or equivalent.
  • At least five years of office experience, ideally in a medical setting.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and scheduling systems.
  • Experience in reception, scheduling, or telephone operations is a huge plus.
  • Outstanding communication, multitasking, and customer service skills.
  • Travel between locations as necessary.
