The role of EHS Administrator is to provide administrative support to the site EHS Coordinator and support with ensuring daily, weekly and monthly key performance indicators are reported on. The role will involve working with key stakeholders including the Operations team.

Key Objectives of the Role:

  • Training Compliance: Book and arrange training in a timely manner in accordance with the site's annual training plan, operational shift availability and the training budget liaising with internal and external stakeholders. Maintain training records (ensure certificates are received in a timely manner after course completion and electronically saved / obtain training certification where applicable from new starters).
  • Occupational Health Compliance: Schedule occupational health appointments in accordance with the site's annual screening plan and budget, operational shift available vs contractor availability liaising with internal and external stakeholders. Maintain occupational health records (ensure reports are received in a timely manner following clinic and are electronically saved). Review reports in a timely manner and update the site's occupational health tracker, refer any actionable outcomes to the EHS Coordinator.
  • EHS Supplies and Purchase Orders: Support ad hoc orders as required by the site and actively chase timely receipt. Raise requisitions and ensure services are receipted on the system when they are completed.
  • General EHS Support: Maintain and update internal tracking of EHS spend. Communicate information and liaise between site and EHS Department. Take and update minutes from EHS meetings. Collate weekly and monthly data and submit data to relevant stakeholders (Number of Job Safety Observations / Audit Inspections and similar). Deputise for the EHS Coordinator when required (meetings / inductions). Support transfer of risk assessments onto the new electronic system. Assist in the updating applicable EHS forms and procedures (manage timely return of internal toolbox talks from operational departments). Assist in the updating and maintenance of Safety Data Sheets (SDS) and Chemical inventories. Support spot checks around the site's emergency arrangements (First Aid Kits / Burns Kits / Spill kits). Facilitate investigation of incidents / near misses by supporting inload of evidence onto the company system / setting up actions and help monitor completion of actions (reporting). Matching up of waste notes in case of hazardous waste removal. Support Contractor Approval (report upcoming contractors requiring re-qualification, send out qualification pack and follow up to ensure timely receipt).

The Applicant:

  • Experience working as an Administrator within a fast-paced environment.
  • (Ideally previous exposure to Environment, Health & Safety – NEBOSH General Certificate).
  • Ability to meet deadlines by effectively prioritising your own workload.
  • Excellent analytical skills with a keen eye for detail.
  • Good IT skills across the Microsoft suite of packages.
  • Ability to utilise both inhouse and external IT software / programmes effectively.
  • Ability to work using your own initiative.
  • Excellent interpersonal skills with the ability to build effective working relationships.
