Role Responsibilities
- Oversee administrative tasks such as mail merges and distribution, emailing, letter writing, filing etc.
- Sort and distribute post and arrange all outgoing post.
- Diary management of key personnel as well as managing meetings for the Catesby team.
- Overseeing office procedures including Health and Safety and audit compliance.
- Organise the set-up and maintenance of the meeting rooms.
- Order office supplies β stationery / refreshments / IT hardware.
- Answer, screen and forward phone calls.
- Maintain front door security to control access to the building.
- Meeting and greeting of visitors to the facility ensuring they are welcomed warmly and offered help immediately.
- Interact with other departments in Catesby to assist with administrative tasks and provide support.
- Organise or assist with organisation where required for corporate, consultation and team social events and manage areas such as venue booking, invites, travel arrangements and accommodation.
- Represent the business with a positive attitude and professional appearance.
- Oversee administrative tasks such as gifts and hospitality, letter writing, filing, database management, presentations and reports etc.
- Deal with correspondence and assist with enquiries or complaints.
- Organising inductions for new employees.
Role Requirements
- Relevant experience acquired within an office administration role.
- Sound working knowledge of computer software packages (Windows β Outlook, Word, Excel, PowerPoint and Adobe packages) and be able to use these packages to produce reports, mail merges, presentation documents and spreadsheets.
- A willingness to learn new skills, such as graphic design.
- Strong communication skills and a real team player.
- Able to work flexibly, identifying needs and responding appropriately.
