Job Location - Houlton, Rugby

Employment Type - Full Time, with the option of Part Time arrangement

Role Responsibilities

  • Oversee administrative tasks such as mail merges and distribution, emailing, letter writing, filing etc.
  • Sort and distribute post and arrange all outgoing post.
  • Diary management of key personnel as well as managing meetings for the Catesby team.
  • Overseeing office procedures including Health and Safety and audit compliance.
  • Organise the set-up and maintenance of the meeting rooms.
  • Order office supplies – stationery / refreshments / IT hardware.
  • Answer, screen and forward phone calls.
  • Maintain front door security to control access to the building.
  • Meeting and greeting of visitors to the facility ensuring they are welcomed warmly and offered help immediately.
  • Interact with other departments in Catesby to assist with administrative tasks and provide support.
  • Organise or assist with organisation where required for corporate, consultation and team social events and manage areas such as venue booking, invites, travel arrangements and accommodation.
  • Represent the business with a positive attitude and professional appearance.
  • Oversee administrative tasks such as gifts and hospitality, letter writing, filing, database management, presentations and reports etc.
  • Deal with correspondence and assist with enquiries or complaints.
  • Organising inductions for new employees.

Role Requirements

  • Relevant experience acquired within an office administration role.
  • Sound working knowledge of computer software packages (Windows – Outlook, Word, Excel, PowerPoint and Adobe packages) and be able to use these packages to produce reports, mail merges, presentation documents and spreadsheets.
  • A willingness to learn new skills, such as graphic design.
  • Strong communication skills and a real team player.
  • Able to work flexibly, identifying needs and responding appropriately.
