Role
An exciting opportunity for an experienced PA/Administrator supporting the Head of the School of Architecture, working across the activities of the School. Reporting to the ACT & YSA Administration Manager, you will have substantial experience of providing PA support at executive level, including diary and inbox management, managing sensitive, time-critical and often conflicting deadlines, and administering executive-level meetings. The role requires flexibility, commitment, discretion and attention to detail. You will contribute to the work of the ACT/YSA Admin Team, primarily in the areas of HR and Casual Staffing, with ad-hoc project support as required, for example on YSA Events. The role is based on Campus East, with some opportunities for remote working, subject to business needs. Occasional out of hours working may be required.
Skills, Experience & Qualifications needed
- Level 2 qualification including Maths and English. (Qualifications at this level include five GCSEs at grade A*-C/ grade 4-9. Please view the full list.) We also welcome applicants with equivalent non-UK qualifications or equivalent professional experience.
- Experience of working in a varied and high-pressure PA/Administrator role supporting senior management, effectively balancing competing priorities including the professional management of senior colleagues’ in-boxes and diaries.
- Experience of servicing committees and meetings - preparing documentation, circulating of agendas, minuting of actions and completion of action logs.
- Experience of creating and publishing internal to a professional standard and using appropriate software.
- Experience of providing an excellent standard of customer service across a range of stakeholders and functions.
- Experience of human resources / casual worker administration.
- Experience of working effectively within a team offering a range of services within a customer focussed environment, including public-facing activities and events.
- Understanding of digital communications, including experience of communicating effectively via a range of channels and with a variety of audiences, including websites and social media.
- Experience of using digital technologies including Google applications and/or Microsoft Office.
