The predicted salary is between 30000 - 40000 £ per year.

The Operations Coordinator will proactively develop and maintain relationships with permanent staff, student staff, university staff, and external partners as agreed.

Responsibilities

  • Organise the annual calendar of staff, team and committee meetings.
  • Ensure minutes and action points are recorded and distributed.
  • Monitor the diaries of the Strategic Leadership Team and Sabbatical Officers to maintain calendar consistency.
  • Contribute to the development of SU facilities, particularly health and safety and building matters.
  • Liaise with other staff in the SU and university on administrative matters.
  • Assist in the preparation of papers and be responsible for distributing agenda, minutes and accompanying documents.
  • Record and distribute monthly Key Performance Indicators (KPIs) and coordinate team objective setting.
  • Assist the Head of Finance and Operations with external regulation updates (e. g., Companies House, Charity Commission).
  • Provide assistance and support to Board members regarding minutes, papers and trustee‑specific issues.
  • Manage general operational and facilities matters in collaboration with commercial colleagues.
  • Assist the management team in preparing contracts with external bodies.
  • Address information and data requests from the university.
  • Coordinate reporting of accidents and incidents and take appropriate action.
  • Develop and maintain internal quality standards in line with relevant policies and procedures.
  • Coordinate the policy and procedure library, review and maintain it, and assist in drafting policies.
  • Provide administrative support to new starters (IT accounts, Zonal, ID cards, laptop, keys, staff number) and ensure leavers return equipment satisfactorily.
  • Oversee access to relevant systems, maintaining records and reports.
  • Assist university staff with IT equipment provision, tagging, and asset recording.
  • Maintain records for staff HR issues and coordinate with external HR consultants as necessary.
  • Maintain records of mandatory and other training.
