We are recruiting an Office Assistant Team Leader to support the Students’ Union Welcome Desk at the Marylebone campus. The Welcome Desk is a key point of contact for students, staff, and visitors seeking information, guidance, and support related to Students’ Union services.

This is an administration‑focused role requiring strong verbal and written communication skills. You will carry out core Office Assistant duties, including managing enquiries, responding to emails, supporting administrative processes, welcoming students, and providing accurate signposting to services.

In addition, Team Leaders take on enhanced responsibilities, including supporting and guiding team members, managing rotas, delegating tasks, and ensuring the team operates effectively—particularly during key periods such as Welcome and Elections. The role is primarily based at Marylebone, with occasional shifts at other campuses.

RESPONSIBILITIES
  • Providing excellent customer service and creating a welcoming environment for students/guests visiting the office.
  • Responding to student queries via phone, email, face‑to‑face interaction, and social media.
  • Supporting Students’ Union full‑time staff with administrative tasks and day‑to‑day office operations.
  • Assisting the Activities Team with administrative support for Sports Clubs and Societies, including room bookings.
  • Acting as a front‑facing UWSU ambassador by supporting outreach initiatives, including promoting services such as Advice and Wellbeing, running pop‑up stalls, and welcoming students and external guests.
  • Assisting with major Students’ Union periods and events, including Welcome Week and Elections.
  • Commit to 10 hours per week, working across at least three days.
  • Support the day‑to‑day running of the office, maintaining a welcoming, organised, and inclusive workspace.
  • Create and manage fortnightly rotas.
  • Check in with team members during shifts, offering guidance and support as needed.
  • Organise and delegate weekly tasks to ensure work is fairly distributed and completed efficiently.
  • Communicate key updates and information to the team to keep everyone aligned.
  • Support overall team performance, ensuring tasks are completed, nothing is overlooked, and written communications are clear and professional.
