We are seeking to appoint an organised, IT literate and forward‑thinking Senior School Support Assistant to provide administrative support within the busy Life Sciences School Support Team. This is a varied and interesting role which entails delivering professional support services to a wide range of internal customers including coordinating various School‑side communications tasks.
Administrative tasks include maintaining a number of resource email accounts and a range of records such as departmental lists, telephone lists, multi‑occupancy office and locker arrangements. The school services team helps to provide office facilities, resources and access for a range of staff, therefore this role includes ensuring smooth operations of provision (including for new colleagues and those transferring to new roles and spaces) and liaising with Estates.
No one day is the same in the School Services Team! We organise a variety of events during the course of the year, whether these are staff social events, high profile fundraising events, small exhibitions in the atrium or providing refreshments for symposiums, whole school meetings and seminars. There will be opportunity to ‘own’ the provision of events, to introduce new systems and to shape how we operate more efficiently.
The most recent addition to the role, hence the grading of this post, is to provide communications support. This includes responding to comms queries, the co‑production of SLS’s monthly newsletter, managing photo storage including consent, maintaining and producing webpages using Sitebuilder and some annual support such as updating SLS’s Induction Booklet and the end of year slide deck for social events.
We are a small team, so the role also involves physical work including moving some furniture items, tables, parcels, erecting posterboards etc. Good planning, organisational and interpersonal skills are therefore key especially as the role will support the wider team including SLS Reception cover during absence of receptionists, and regular lunchtime slots, and in administering the visitor’s process.
This is a fantastic opportunity to work in an environment that wishes to be at the forefront offering customer focussed, proactive services.
We will be looking for experience in customer facing and administrative roles and for someone who is approachable and really motivated to help people. With a professional and proactive, can‑do collaborative approach you will have a particular penchant for improving systems and procedures, to reduce the ‘red tape’, seeing continuous improvement as an every‑day feature of the role. You will have the ability to prioritise tasks and be a versatile team player, able to communicate well with people at all levels, working to achieve the best outcomes on your own and as well as part of a number of teams. You’ll be organised, calm and smiling your way through the day, looking forward to your next task to tick off your list or the next project to co‑ordinate!
