The School of Engineering is seeking a proactive and organised Administrative Assistant to join our Staff Administration Team. The role offers the opportunity to work independently on activities and processes from start to finish, taking ownership of key administrative functions with a particular focus on recruitment and HR support.

You will manage end‑to‑end recruitment processes for permanent and temporary staff, acting as the main liaison for hiring managers, HR teams and candidates. Additionally, you will provide high‑quality administrative support to senior colleagues, including the School’s Research Cluster Leads and Directors of Teaching, service committees, take minutes, coordinate and attend meetings, and support key academic events.

Flexible Working

Applications for part‑time or other flexible working arrangements (e.g. job share) will be considered, even though the position is advertised as full‑time.

Work Location

This role is based in the Staff Administration Team within the School of Engineering on the University of Warwick campus in Coventry. Hybrid working arrangements are available; the successful candidate is expected to work onsite full time for the first six months. After that, due to the nature of the role, the holder will need to be on campus a minimum of 80% of their time on a team rota, with additional days in the office possible during busy periods or to cover colleague absence.

About You

  • Proactive, highly organised and experienced administrator, ideally with a background in higher education or HR.
  • Excellent communication skills and a customer‑centric approach, able to interact effectively with a diverse range of people, both internally and externally.
  • Experience supporting senior staff, demonstrating influencing skills and an appropriate level of assertiveness.
  • Resilient, collaborative, able to work independently and use initiative to solve problems, managing competing priorities under pressure.
  • High level of accuracy and attention to detail, with flexibility, strong time‑management and organisational skills to prioritise workload and meet deadlines.
  • Ability to handle confidential and sensitive information with diplomacy, tact and empathy.
  • Understanding of equality, diversity and inclusion (EDI) issues as they impact on recruitment and administration.
