The department of Biological Sciences at the University of Toronto Scarborough (UTSC) pursues detailed knowledge of the natural world, effective management of natural resources, novel technologies and medical techniques. The department of Biological Sciences is comprised of faculty who are innovative researchers and engaging teachers that make important contributions to society. Your opportunity:
Under general supervision of the Administrative Coordinator and direction from the Manager, Operations & Finance, the incumbent provides administrative and coordination support to large undergraduate courses within the department. This support includes responding to student emails, coordinating delivery and marking of tests and final exams, as well as working with Student Services on campus to ensure the highest quality learning experience for students enrolled in these courses.
Along with an administrative team, you will support the undergraduate programs in a dynamic, fast-paced environment. By collaborating with other members of the department, you will ensure that courses, students, and faculty are well informed and supported.
Your responsibilities will include:
- Providing detailed information to students on program and/or course requirements
- Acting as the first point of contact for general enquiries
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Writing routine documents and correspondence
- Handling sensitive and/or confidential information
- Checking course prerequisites prior to student enrolment
- Handling the delivery of examination question booklets
- Calculating student grades using excel based formulas
Essential Qualifications:
- Advanced College Diploma (3 years) in Biological Sciences or acceptable combination of equivalent experience.
- Minimum two years\’ recent and related experience with educational course coordination, preferably in an academic environment.
- Experience providing detailed explanations regarding academic programs and course information to students.
- Experience interpreting and applying guidelines and procedures.
- Experience working with ROSI (Repository of Student Information) or similar University Student Information System.
- Experience conducting data analysis, compiling data, and preparing and presenting reports.
- Experience with handling expenses for events.
- Demonstrated advance skills in Microsoft Office Suite (Word, Excel, PowerPoint).
- Demonstrated advance skills using Excel to manipulate data and perform calculation and statistical functions.
- Demonstrated advance skills with Quercus or similar learning management systems.
- Excellent oral and written communication skills.
- Excellent organizational, multitasking and administrative skills.
- Demonstrated analytical and problem solving skills.
- Excellent team work skills.
