The Finance Transactions Senior Assistant is part of the Finance Transactions team, reporting to the Finance Transactions Team Leader. The post holder will support the Finance Transactions Team leader in the day-to-day supervision and operational support of the Finance Transactions Assistants in the delivery of all aspects of finance transactions services. Under the direction of the Finance Transactions Team leader, the post holder will oversee the efficient and effective financial processing of all incoming and outgoing cash transactions across the University, whilst supporting a culture of quality and timely customer service.
Description of Duties
- Implementing and auditing internal processes both within the Finance Transactions Team and across the University to ensure that financial data is accurate, is processed to agreed timelines and complies with policies and procedures.
- Writing and reviewing financial control procedures for all areas of responsibility in order that the team continues to comply with accepted practice and adapts to changes in business operations.
- Planning and organising their own workload and overseeing the workload of the Finance Transactions team, managing any conflicting timescales to ensure deadlines are met.
- Monitoring staff performance and recommending additional support or training as required.
- Resolving more complex issues raised by the Finance Transactions Team.
- Overseeing month-end activities completed in line with the agreed month-end close timetable. Taking responsibility for all ledgers (purchase ledger/sales ledger). Ensuring ledgers and other balance sheet account reconciliations are completed on an accurate and timely basis, highlighting any risks to the Finance Transactions Team Leader as appropriate.
- Assisting the Finance Transactions Team Leader with the provision of information to support Internal Audit and External Audit activities. Actively managing through to resolution any audit points relevant to the team.
- Ensuring the team is aware of potential fraudulent or money laundering activities. Actively managing associated risks or potential cases, highlighting risks and issues to Finance Transactions Team Leader as appropriate.
- Suggesting improvements or developments to current working practices in consultation with the Finance Transactions Team Leader, in order to ensure the smooth running of the service they provide.
Essential Criteria
- Qualifications: Vocational qualifications plus substantial relevant work experience OR Learning gained through work experience of a number of years. Will include short courses and other formal training.
- Knowledge & Experience: Substantial experience in an Accounts Payable and/or Accounts Receivable environment. Experience of providing customer service (internal and external).
- Skills & Attributes: Ability to work as part of a team. High level of accuracy with attention to detail. Work independently without undue supervision. Effective working knowledge of Excel. Proficient with Accounting software packages.
