The Post
The Project Support Officer is a key member of the SAIC administrative team and will support the administration of all projects.
The role holder will work closely with the Research & Innovation Manager to co-ordinate and maintain all project documentation.
The role holder will operate under the University of Stirling's agile working framework.

Description of Duties
- Work collaboratively with other teams both within RIBE and across the rest of the University, ensuring that processes and procedures are strongly customer-focused while remaining compliant with university, legal and regulatory requirements
- Support the Research & Innovation Manager by managing all project administration. Including liaison with independent scientific experts and project teams by issuing and recording documentation, providing deadlines for review, and managing return of information
- Co-ordinate administrative support across SAIC to ensure that it operates effectively and with maximum impact
- Responsibility for maintaining all CRM records for live project activity, taking responsibility for updating data and ensuring that reporting of activity is accurate Co-ordinate the issuing and recording of project documentation
- Maintain and update project files, ensuring that grant letters, collaboration agreements, extension documents and any other relevant correspondence is filed appropriately
- Manage the projects mailbox to deal with enquiries, signposting when necessary.
- Work closely with the Aquaculture Innovation Officers to ensure effective coordination and sharing of information in relation to project activities
- Support the production of reports and provide proactive support for quarterly reporting and undertake initial review of the quarterly report to ensure alignment with project activity
- Perform as an external-facing contact to SAIC’s project network to develop knowledge and understanding and maintain relationships. Contribute to the development of administrative processes, and their continuous improvement, to facilitate operations and efficiency
- Proactively review processes and work with colleagues across professional services to make improvements as required
- Identify and share good practice from elsewhere in the institution or wider sector
- Undertake other duties commensurate with the grade as required
Essential Criteria
- Excellent communication skills, both written and verbal, to effectively interact with various stakeholders
- Strong organisational abilities to manage multiple tasks and prioritise effectively
- Attention to detail to ensure accuracy in data entry and document management
- Proficiency in Microsoft Office 365 Suite including Word, Excel, SharePoint etc
- Problem-solving skills to identify and resolve issues independently
- Adaptability to handle changing priorities and work in a dynamic environment
- Experience of working successfully within a team
- Willingness to embrace SAIC’s values of support, agility, integrity and collaboration
Desirable Criteria
- Knowledge of the aquaculture sector
- Experience with financial returns and project administration
- An ability to assess standard processes and suggest where improvements may be made
- Experience in liaising with a range of stakeholders to obtain information within set deadlines
