Facilities Support Assistant Portering & Postal Services

About The Role
We are looking for a highly motivated and customer-focused Facilities Support Assistant to join our Facilities Team. This varied and hands‑on role is essential in ensuring the smooth operation of campus facilities, providing portering, postal, and general facilities support services across multiple University locations. As part of the Facilities team, you will respond promptly to service requests through our enterprise service management system, Solve, ensuring tasks are completed efficiently and to a high standard. The role involves a mixture of portering duties, mail and parcel processing, facilities support, cleaning activities, vehicle driving, and assisting with site safety and security procedures. No two days are the same, making this an excellent opportunity for someone who enjoys a practical, customer‑facing role and takes pride in delivering excellent service.
Key Responsibilities
- Carry out a range of general portering duties, including:
- Furniture moves
- Event and room set‑ups
- Delivery receipt and distribution
- Customer support and liaison
- Respond to facilities support requests logged on the Solve system, completing tasks promptly and updating records to ensure accurate reporting and timely resolution.
- Receive, sort, process, and deliver internal and external mail and parcels using digital tracking systems.
- Manage courier collections and deliveries and support the transfer of inter‑site library loans and post.
- Record and report maintenance issues requiring attention from University trades teams or external contractors.
- Support the Facilities Team with cleaning duties in internal and external University areas as directed.
- Assist with emergency procedures, including fire alarm activations and building evacuations.
- Follow building security procedures, including key management and securing facilities.
- Drive University vehicles both on and off campus, carrying out daily vehicle checks and reporting defects as required.
- Work flexibly across different buildings and campuses to meet operational requirements.
About You
To be successful in this role, you will be reliable, practical, and committed to providing excellent customer service. You will be able to work independently, use initiative to solve problems, and maintain a positive and professional approach at all times.
Essential Requirements
- Good standard of education or equivalent relevant experience.
- Full, clean UK driving licence.
- Experience in a portering, postal, parcel delivery, or similar support service role.
- Excellent customer service skills.
- Ability to prioritise workloads and respond effectively to service requests.
- Strong communication and teamwork skills.
- Ability to work across multiple sites and adapt to changing priorities.
- Willingness to undertake relevant training and induction programmes.
Desirable Requirements
- Manual Handling Training Certificate.
- Previous experience working within facilities management, education, healthcare, or a large multi‑site environment.
