We are looking to recruit a Professional Services Administrator in the Faculty of Humanities and Social Sciences. The role is a permanent position, and the first assignment in the role will be to support the Faculty Office in the day to day running of the Faculty. This first assignment will last at least 12 months.
This assignment will be to provide comprehensive administrative support for core Faculty office functions, supporting various aspects of the staff recruitment process and providing a comprehensive administrative support service to the Senior managers and the Faculty Office team as required. This will include working closely with other faculty administrators.
Under the direction of the Faculty Administration Manager, the post holder will work in liaison with the Faculty Manager, Academic colleagues and key stakeholders to facilitate the smooth running of the Faculty. Core aspects of the assignment include:
- Acting as the primary contact for all visitors to the Faculty office.
- Dealing with Faculty Office correspondence and enquiries.
- To be responsible for the email processing of delegated Faculty email accounts.
- Diary/calendar and email management for the Faculty.
- Providing comprehensive administrative support, diary management support and other general administrative duties to Faculty Office colleagues.
- To attend meetings/committees, producing accurate notes/minutes and maintaining confidentiality throughout.
- Managing the administration of procuring goods and services.
- Ordering stationery, equipment and office furniture.
- Supporting the Faculty office with all HR and recruitment activities.
- Assisting with faculty-related projects.
- Organisation of Faculty events.
- Financial administration including but not limited to: expenses, travel arrangements, purchase orders and the provision of budgetary support as required.
- Providing cover to members of the Faculty Office Administration team in times of absence.
- Providing administrative support to the Schools within the Faculty, including providing time to time cover for the Head of Schoolβs administrators and supporting specific projects attached to the schools.
After the initial 12 months, a combination of the business needs and the role-holder's own development aspirations will be used to determine future assignments and responsibilities. Whilst there is a need to be in Portsmouth a few days a week, hybrid working is available for this role.
