We are seeking an organised and service-focused Alumni Support Coordinator to support alumni engagement activities, onboarding processes, events administration and communications. This role combines stakeholder support, data management and event coordination within a busy alumni relations environment. The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £16.92 per hour + holiday pay.

Key Duties
  • Alumni Onboarding & Data Administration
    • Support onboarding of alumni onto the alumni portal, including preparing records, issuing invitations and tracking progress.
    • Maintain accurate alumni records, mailing lists and trackers.
    • Respond to routine onboarding and portal enquiries, escalating issues where appropriate.
    • Update onboarding guidance, FAQs and process documentation.
  • Events Administration
    • Provide logistical and administrative support for alumni events and webinars.
    • Coordinate invitations, registrations, event materials, catering, AV and supplier arrangements.
    • Liaise with alumni, contributors and internal teams to support smooth event delivery.
    • Provide on-the-day support for in-person, virtual and hybrid events.
    • Assist with post-event follow-up and updating records.
  • Communications & General Support
    • Support drafting, proofreading and distribution of alumni communications.
    • Maintain communication trackers, mailing lists and shared inboxes.
    • Upload updates and resources to the alumni portal.
    • Arrange meetings, maintain action trackers and support routine administrative processes.
    • Provide flexible administrative support across the alumni team as required.
Selection Criteria
  • Experience providing administrative support in a customer-facing or stakeholder-focused environment.
  • Strong attention to detail and confidence managing data and records accurately.
  • Excellent organisational skills and ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Good IT skills, including Microsoft Office, Outlook and Excel.
  • Experience supporting events or webinars.
  • Proactive, flexible and team-oriented approach.
