Position Summary:
Under the supervision of the Clinical Manager or designee, this position provides administrative support for DES skilled professional medical personnel, including physicians, psychologists, and program managers. The Disability Assistant handles complex decisions regarding protected healthcare information, adhering to HIPAA regulations, and serves as a primary customer service interface for clients and external agencies.
Major Responsibilities:
- Review disability supplements for accuracy and completeness, flag priority cases, and highlight critical clinical information.
- Make complex privacy decisions related to HIPAA, including information sharing and communication protocols, documented through detailed case notes and consultations.
- Request clinical information from treating sources in compliance with HIPAA regulations.
- Assess the legality of information requests, communicate with agencies, and consult with SPMP on case handling decisions.
- Contact clinical sources to ensure timely receipt of information.
- Review external databases to identify cases for quick processing.
- Distribute new cases to appropriate staff based on established criteria.
- Manage returned mail, evaluate its impact, and coordinate follow-up actions with SPMP.
- Arrange transportation for clients to examinations and inform SPMP of any issues.
- Provide customer service via phone for incoming and outgoing inquiries.
- Reschedule clinical evaluations as needed, following agency guidelines, and provide feedback to SPMP.
- Perform additional duties as assigned.
Required Qualifications:
- Associates degree in business or related field, or equivalent experience.
- 3-5 years of office experience, preferably in a medical setting.
- Knowledge of HIPAA laws and regulations.
- Proficiency in Word, Access, Excel, and Outlook.
- Ability to interpret complex HIPAA regulations for clients and agencies.
- Strong customer service and problem-solving skills for client education and support.
- Discretion in handling confidential information.
