Job Description
Job Purpose
To provide customer-focused support for data requests, student enquiries and other administrative activities as required for all aspects of the student lifecycle throughout the academic year. Proactively help to manage the Student Operations Team calendar of activity to ensure all tasks are delivered in an efficient and effective manner.
Main Duties And Responsibilities
- Provide effective administration support for MA (Social Sciences) students, responding to incoming enquiries in a timely and accurate manner.
- Assist with proactive activities designed to support students during key points of the student journey e.g. Registration and Enrolment, progression etc.
- Work closely with school administrative staff and Chief/Senior advisors to amend and maintain academic programmes and plans .
- Provide accurate reporting inputs for meetings and committees chaired by the College’s Learning and Teaching teams, including Boards of Studies, progression committees etc.
- Liaise with and signpost students to relevant University services to ensure they receive appropriate wellbeing support alongside academic support provided by the academic advising network.
- Contribute to a culture of continuous improvement, supporting the implementation of process improvements that enhance customer experience, such as development of standard communication templates, process maps and activity/project schedules designed to ensure that work is delivered to standard and on time.
- Liaise with students and Advisers of Studies to support processes for monitoring attendance and absence in line with university procedures, working closely with Advisers where students are at risk.
- Liaise with other student facing support functions, including Admissions, Finance and Student Support and Wellbeing services to provide cohesive student support without duplication of effort or gaps in service provision.
- Use standard software packages including Microsoft Office and University data systems to manipulate and statistically analyse/interpret data, preparing resources that inform the strategic decision-making of the College’s Learning &Teaching teams.
Knowledge, Qualifications, Skills and Experience
Essential
A1 Scottish Credit and Qualification Framework Level 7 (Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
A2 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role.
A3 Knowledge of the main University student support and administrative systems (including My Campus, Ivanti and Qlkiview) and Microsoft Office suite of packages including Excel, Work and Outlook.
