Job Purpose
To provide comprehensive support to the Directors (Prof. Neil McDonnell, Prof. Pauline Mackay, Prof. Julie Williamson) in the co-ordination and management of Realities and Immersion Glasgow (RIG): the Centre for Research and Teaching in Immersive Realities. This will involve maintaining administrative oversight of RIG’s research and teaching portfolios; co-ordinating administrative activity across research projects, teaching/laboratory facilities and associated events; organising and clerking the Centre’s meetings; supporting the management of Centre and project-related budgets using Agresso; booking travel using UoG’s travel agency; undertaking procurement and tracking of equipment; monitoring use of the Centre’s research and teaching facilities and equipment; and amplifying the Centre’s communications across website and social media channels.
Main Duties and Responsibilities
- Provide dedicated high-quality and wide-ranging administrative support to RIG Directors, ensuring the successful delivery of the Centre’s objectives in relation to RIG’S research and teaching portfolios.
- Provide administrative oversight and management of the Centre’s budget(s), monitoring and reporting on them in co-ordination with the Directors.
- Manage all incoming centre-related correspondence and email. Draft letters and responses, and proactively follow up actions as appropriate.
- Support management of the Centre and its resources; establishment of robust delivery schedules and applying discretion in co-ordinating delivery activities to meet Centre outcomes.
- Proactively manage the interaction with external partners, including: co-ordination of plans for the delivery of required milestones and events.
- Communication with relevant sponsor and stakeholder communities, including consultation and management of expectations; reporting to Directors/XR Operations Board, engaging stakeholders from across the University and external networks.
- Provide Directors and Operations Board with regular Centre updates and briefings to ensure they have a clear understanding of the status and any emerging risks or issues for the Centre.
- Deployment of a robust and responsive risk management approach to identify, assess, monitor and actively manage risks.
- Ensure that there are appropriate quality management processes in place to ensure that deliverables of the Centre comply with stakeholder requirements, appropriate legislation, University policies and procedures, and industry best practice.
- Engage in reasonable professional development activities as appropriate.
- Through management of communications channels (website, social media, media enquiries), contribute to the enhancement of the University’s international profile in line with the University’s strategic plan.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
- Essential: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s). Or: Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
- Desirable: Project Management qualification and thorough understanding of project management methodologies.

Experience
- Essential:
- Track record of effectively planning and managing business development and improvement opportunities, and supporting organisational change in a collaborative and high performing environment.
- Successful track record of coordination or management of complex projects across the full project lifecycle.
- Experience of working successfully in a complex organisational structure and/or in cross-disciplinary/cross-functional teams to coordinate activity across organisational boundaries.
- Significant experience using spreadsheets, databases or other analytical tools to systematically collect, manage, analyse and present data with a high degree of accuracy.
- Experience of planning and progressing work activities within professional guidelines or organisational policy, applying initiative and judgement and advocating for change when required.
- Desirable:
- Experience of working in a research or higher education environment.
- Experience of clerking meetings or committees.
Terms and Conditions
Salary will be Grade 6, £33,951 - £37,694 per annum. This post is full time and open ended. Closing date: 23:45 23rd September 2026. All applicants must have the right to live and work in the UK or be eligible to obtain permission to work in the UK. This role may be eligible for sponsorship under the Skilled Worker visa route, subject to meeting the relevant Home Office requirements, including any applicable tradeable points criteria.
