The University of Glasgow (UofG) and University of Edinburgh (UofE), together with other partners, have a new vision for health research in Scotland. Our aim is to bring the best biomedical and health researchers together to tackle those life-threatening and debilitating chronic diseases that blight the health of our population. The Scottish Health and Biomedical Institute (SHBI) is set to become a landmark initiative in UK health science - uniting Scotland’s leading biomedical research institutions to tackle chronic disease, reduce health inequalities and drive economic growth through innovation.

To support the delivery of SHBI, the Scottish Funding Council (SFC) have provided funding for the development of the operational framework and governance model that will underpin this network, enabling a “once for Scotland” approach to health research, extending beyond the core partners to include others across the sector.

Job Purpose

As part of the University of Glasgow (UofG) SHBI team, working very closely with colleagues at the University of Edinburgh (UofE), the SHBI Administrator will support the development of the governance and operational framework that will bring SHBI together as a multi-institutional partnership. The provision of proactive, efficient, and flexible administrative support activities will include significant forward planning, interacting with key internal and external contacts acting as the professional representative, and independently managing work in a fast-paced environment.

Main Duties and Responsibilities

  • Provide administrative support to the SHBI development team (which is based across both UofG and UofE) for all aspects of the work required to deliver the SFC funded programme.
  • Support the SHBI Project Manager with planning and delivery of the work packages outlined in the funding.
  • Coordinate and support financial administration for the programme, including tracking spend across the core partners, and coordinating and collating reports to SFC as required.
  • Facilitate the day-to-day administration for SHBI including the organisation of meetings, seminars, and events.
  • Coordinate with relevant stakeholders to ensure that effective communication and collaborative efforts are in place to deliver a seamless shared approach to activities.
  • Support the administration of work package meetings, including taking accurate notes at meetings and tracking actions where required.
  • Assist in the maintenance of relevant webpages and content.
  • Provide administrative support to the SHBI project team/s.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

  • A1. Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role OR Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.
  • A2. Excellent knowledge of Microsoft Packages (e.g. including Word, Excel, PowerPoint, Outlook and OneDrive is essential).

Desirable:

  • B1. Experience in supporting research activity.
  • B2. Basic awareness of data protection requirements in the academic sector.
  • B3. Working knowledge of University and / or NHS administrative processes.

  • C1. Ability to plan, organise and prioritise effectively, respond to changes in demands and/or pressures, delivery work to standard and within deadlines.
  • C2. Excellent oral and written communication skills, operating with diplomacy and discretion.
  • C3. Excellent eye for detail and accuracy.
  • C4. Highly motivated and proactive, with the ability to work flexibly and adapt to changing environments.
  • C5. Ability to apply initiative and judgement to resolve problems independently.
  • C6. Ability, and ideally track record, of building positive long-term working relationships both internal and external to the immediate team or organisation.

Experience

Essential:

  • E1. Track record of providing high-quality administrative support services, ideally in a research environment.
  • E2. Experience of utilising and advising on financial processes and systems.

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum. This post is full time, and has funding up to 31 October 2028. As a valued member of our team, you can expect:
