Job Purpose

The role holder willplan and organisealongside the accreditation team, theaccreditations,awardsandinitiativesfrominceptionthrough to implementation that will support the strategic themes of the business needs of the school.The role holder will ensurecontinuous improvement as well as supporting the brand and reputation to meet the school strategicobjectives.

Main Duties and Responsibilities

  1. Responsible for providing administrative support to each of the Director of Accreditations and Rankings and Accreditations, Rankings and Communications (ARC) Manager in all areas of accreditation provision to ensure the smooth operation of preparations and availability of accurate and timely information across the School’s management information systems by:
    • Applying detailed knowledge of appropriate operating procedures and working accreditation practices for the following accreditation bodies:
    • Association to Advance Collegiate Schools of Business (AACSB) Lead
    • Association of MBAs (AMBA) Support
    • The European Quality Improvement System (EQUIS) Lead
  2. Exercising initiative and judgement to ensure effective delivery of accreditation administration
  3. Ensuring awareness of School and University wide QEA procedures to inform the accreditation report and supporting documentation
  4. Manage preparations for accreditation visits, including:
    • Liaising with accreditation bodies to agree visit dates, travel and accommodation for peer review team
    • Create and agree timelines with appropriate colleagues ensuring awareness and nature of responsibility during the visit
    • Manage and organise briefing session ahead of visit with all staff, students and other stakeholders
    • Manage and organise any mock visits ahead of actual peer review visit
    • Ensure peer review team are fully prepared ahead of arrival for visit, full access to documentation and any additional information requests are met
  5. Contribute to the review of AACSB and EQUIS accreditation procedures and PRME within the School in order to recommend development and improvements in the collation of data and supporting documentation in response to the requirements of each accreditation body by:
    • Creation of process maps and FAQs
    • At the end of each accreditation process conduct an administrative review and recommend revisions or improvements to School wide processes which support the collection of accreditation data and report to the Accreditations Committee
  6. Proof reading of the documentation prior to final submissions, including the self-evaluation report, executive summary and appendices for AACSB, AMBA, EQUIS, Athena Swan and PRME
  7. To provide diary management for the Accreditation and Reputation manager and Rankings and Accreditation Manager
  8. Work closely with the academic lead of Responsible Sustainable Management (RSM) to support all RSM administration and activities. Supporting the PRME SIP submission and working with all of the stakeholders involved, creating databases with evidence for the SIP report, creating new processes and procedures and clerking the RSM committee.
  9. Deliver large volumes of complex data, including manipulating and maintain the existing system with the various sources of data needed for the accreditation and rankings processes. This will involve drawing data from various sources including the School, the College and the University and implementing this into our school dashboards.
  10. Responsible for maintenance of the Accreditations website, SharePoint and teams’ site ensuring information is accurate and up to date in conjunction with the Accreditation and Reputation Manager
  11. To clerk the School Accreditation Committee, providing active support to manage the business of the committee by:
    • Providing administrative support for the Chair
    • Taking minutes at monthly meetings
    • Producing action grids and monitoring these/liaising with colleagues to ensure timely completion of tasks
    • Collecting data to inform school wide rankings policymaking
  12. Responsible for own complex and changing workload, with the ability to work under minimal supervision.
  13. To act as alternate to accreditation co-ordinator and shadow their main duties and responsibilities.
  14. The post holder will, from time to time, be required to undertake other duties of a similar nature as may reasonably be required by the line manager

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1. Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2. Broad understanding of the University structure and policies, practices and procedures in relation to Quality Enhancement and Assurance

Desirable:

B1. Knowledge and understanding of the different accreditation bodies (AACSB, AMBA and EQUIS and professional accreditations)

B2. Experience of a quality enhancement/accreditation regime, preferably within an HE setting

B3. Experience of working in a higher or further education setting

Skills

Essential:

C1. Ability to interact effectively with people at different levels within the University and external companies

C2 Excellent Analytical and problem-solving capability

C3. Excellent communication skills (oral and written) and ability to communicate complex data/concepts clearly and concisely

C4. Ability to prioritise competing demands from a variety of stakeholders

C5. High level of competency in Office 365 packages including but not limited to, Excel, Word, PowerPoint and forms

C6. Excellent attention to detail

C7. Ability to work effectively both independently and as part of a team

C8. Ability to organise own workload

C9. Ability to adhere to timescales and produce information clearly and concisely, both verbally and in written form

C10. Strong organisational skills with the ability to support multiple projects simultaneously

C11. Familiarity with content management systems and experience of writing for the web

Experience

Essential:

E1. Experience of working with large quantities of data and analysing

E2. Experience of introducing and reviewing processes

E3. Clerking committees and minute-taking

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum.

This post is full time and open ended.
