Overview
Job Purpose
The Timetable Manager is responsible for all aspects of examination timetabling, including leading the timetabling cycle, managing the system, validating data, and producing and publishing the final timetable.
You will ensure timetables are efficient, well-managed, and delivered to agreed deadlines, while contributing to service development and building strong partnerships with stakeholders. Working in close collaboration with the Exams Manager, you will ensure that timetabling activity is fully integrated with the operational delivery of examinations, supporting a consistent and high-quality service.
Main Duties and Responsibilities
- Lead the examination timetabling planning and preparation cycle ensuring appropriate guidance, milestones and reviews in line with policy and agreed deadlines.
- Manage and configure the exam timetabling system and ensure the collection, validation, and analysis of data from schools and services during the timetabling process.
- Manage the construction of exam timetables for all students, including those requiring exam support adjustments, managing the timetabling system, data, clash resolution, and the production of final timetables.
- Ensure that examination timetable procedures, and processes comply with institutional policies, quality standards, and sector best practice.
- Work closely with the Examinations Manager, professional services, and schools to ensure timetables align with operational delivery. Coordinate effectively to support an integrated and student-focused examination service.
- Provide specialist advice and training on exam timetabling policies, processes, and systems to colleagues and stakeholders, and ensure effective communication of examination timetables.
- Support the collection of feedback from stakeholders about examination services and contribute to the analysis and preparation of reports, to measure service performance and inform improvements.
- Contribute to the continuous improvement of services, making recommendations to enhance service quality, efficiency and user experience.
- Develop and document standard operating procedures for all timetabling processes and actively share expertise with colleagues and stakeholders.
- Support wider work during examination periods, helping with operational planning and delivery of exams. Undertake other duties commensurate with the grade as necessary, including relevant training and development activities.

Knowledge/Qualifications
Essential:
- A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s) or Scottish Credit and Qualification Framework level 9 (Ordinary Degree, Scottish Vocational Qualification Level 4)) or equivalent, and experience of personal development in a similar role.
- A2 Comprehensive understanding of timetabling, scheduling and use of timetabling and/or room booking systems.
Desirable:
- B1 Knowledge of examination processes, policies, and regulations.
- B2 Knowledge of systems such as CMIS and MyCampus.

Terms and Conditions
Salary will be Grade 7, £41,064 - £46,049 per annum.
This post is full time and fixed term for up to contract hard end date of December 2028
