Job Description
The Digital Health Validation Laboratory (DHVL) Operations Coordinator will coordinate the daily operations, booking, logistics and programming of the DHVL’s physical space to ensure the efficient and effective functioning of the laboratory’s operations. The Coordinator will also play a key role in delivery of core DHVL services (focus groups, simulation and PPIE) and support knowledge exchange and innovation events helping deliver a dynamic environment for health tech co‑design, development and evaluation.
Main Duties and Responsibilities
- Responsible for providing an efficient and effective service across a range of operational services to meet the needs of the DHVL.
- Support planning and delivery of DHVL projects, including scheduling and supporting meetings with innovators, allocation of equipment, and administrative support to enable delivery (e.g., emailing participants, organising catering and reimbursement).
- Collaborate with project teams to schedule focus groups, access to simulation suites and co‑design space acting as a first point of contact for lab‑based activities. Support documentation and tracking of room bookings, lab usage and participant feedback.
- Support Patient and Public Involvement and Engagement (PPIE) sessions and wider community activities by attending meetings and providing logistical support.
- Collaborate with DHVL team to support interactions with University services and coordinate associated project documentation (e.g., costings, legal agreements, reporting).
- Contribute to the development of repeatable workflows and operational procedures to ensure that the DHVL operates to agreed performance, safety and quality standards. Maintain an organised and safe environment liaising with Estates and IT services to ensure equipment, space and digital infrastructure are fully operational.
- Coordinate logistics for industry engagements, workshops, simulation and innovation events hosted by the DHVL.
- Achieve operational objectives by contributing information and recommendations to DHVL strategic plans and reviews. Support the DHVL’s business goals in collaboration with stakeholders.
- Contribute to on‑site budget management with the DHVL leadership team.
- Complete audits/performance checks and handle any issues/complaints.
- Responsible for the administrative systems and processes to maintain research data generated during DHVL projects (e.g., focus groups, simulation data) and ensure data management and storage are in line with organisational policies.
- Undertake any other duties of equivalent standing as required in accordance with the evolution of the DHVL.
Knowledge, Qualifications, Skills and Experience
Essential
- A1 Scottish Credit and Qualification Framework Level 9, (Ordinary Degree, Scottish Vocational Qualification level 4) in a related discipline or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar or related role(s).
- C1 Ability to write and adhere to Standard Operating Procedures (SOP) and guidelines.
- C2 Problem‑solving capability, including high degree of accuracy and attention to detail.
- C3 Highly motivated, ability to use initiative and quick to learn new techniques.
- C4 Excellent communication skills (verbal and written), and ability to communicate with broad range of stakeholders clearly and concisely.
- C5 Excellent interpersonal skills including team working and a collegiate approach.
- C6 Excellent organisation and project management skills; ability to engage with DHVL projects from conception to completion.
- C7 Willingness and aptitude to work in a multidisciplinary environment.

- C10 Extensive IT, technical, and data analysis/interpretation skills.
- C11 Significant knowledge of IT infrastructure and systems integration.
- E1 Experience of working in a standards/compliance environment.

Desirable
- B1 Advanced degree, such as MSc in related discipline.
- D1 Experience of working with financial data, including costings, invoicing, or budget tracking.
- D2 Experience with developing or evaluating health technologies, software validation, and medical device testing.
- D3 Experience of medical simulation including the operation of mannequins and video feedback systems.
- D4 Sound scientific knowledge with a focus on digital health, medical device validation, or related fields.
Terms and Conditions
Salary will be Grade 6, £33,951 – £37,694 per annum. This post is full time, open‑ended with funding available up until 30 September 2028. Location: The Queen Elizabeth University Hospital.
