Responsibilities
- Contribute to policy and standards for the cleaning, portering and ancillary services in conjunction with the Soft FM Services Managers.
- Ensure all faults and maintenance requests are raised correctly and within timeframes.
- Develop and maintain close working relationships with key stakeholders including the Student Services Hub, Soft FM Southend and Loughton, Accommodation Essex, CER, EMS Helpdesk, Estates and Event Essex and support key activities as required.
- Ensure the delivery of cleaning/portering requirements for the residential, administrative, academic and commercial estate within the operational window 5.30am – 10pm Monday – Friday and 5.30am – 1.45pm at weekends.
- Assist the Soft FM Services Managers to prepare for and deliver all University events which require the provision of cleaning/portering services, ensuring that these activities are serviced according to agreed standards.
- Assist the Soft FM Services Managers to ensure the effective turnaround of accommodation at the end of the academic year and preparing the residences for summer conference business.
- Assist the Soft FM Services Managers to deliver the cleaning/portering services for summer conference business across all residences.
- Assist the Soft FM Services Managers to manage external contracts.
- Assist the Soft FM Services Managers to co‑ordinate the snow and ice policy.
- Respond to enquiries and resolve complaints received from customers.
- Investigate any breaches of the accommodation tenancy agreement in relation to the occupation of rooms as required, and liaise with relevant services such as Accommodation Essex, Student Conduct, Residence Assistants regarding the follow‑up action to be taken.
Health & Safety
- Ensure all relevant health and safety checks that may be required are undertaken, records are maintained and made available for audits.
- Ensure supervisory staff carry out stock checks and maintain inventory records, all store cupboards are recorded, their contents documented, they are kept tidy, and all paperwork is up to date.
- Ensure supervisory staff monitor the condition of all operational equipment including ladders, trolleys and cleaning vessels, carry out scheduled tests and inspections and maintain accurate records.
- Undertake annual Health & Safety inspections as directed by the Soft FM Services Managers.
- Issue Authority to Work permits and facilitate low level work with external contractors, including quality control.
Staff Management & Leadership
- Ensure all staffing policies are adhered to and appropriate records are maintained, including recruitment, induction, training, payroll, performance reviews and absence management.
- In conjunction with the Soft FM Services Managers and the Training and Compliance Officer, ensure staff have sufficient training to fulfil their core functions, including health & safety training.
- Assist with cleaning, portering and ancillary services when cover is required.
- Ensure subordinate staff are aware of and comply with their obligations relating to GDPR and Information Security.
- In conjunction with the Soft FM Services Managers ensure staff rotas are produced and maintained and that all cleaning, portering and ancillary staff retain a full working schedule.
- Ensure all operational teams comply with Health & Safety policies and procedures.
- Ensure that Team Clean Supervisors carry out quality control checks. Follow audit procedure to ensure necessary actions are put into place for staff management and recognition.
- Ensure staff communication is effectively cascaded in order that subordinate staff are informed of business issues and developments.
- In conjunction with the Soft FM Services Managers implement staff engagement initiatives.
Financial Management
- Assist in the annual budget review and preparation in conjunction with the Soft FM Services Managers.
- Ensure that all purchases comply with purchasing procedures, obtaining quotations, raising requisitions and goods receipt purchase orders and processing invoices.
