THE DEPARTMENT
This is an exciting opportunity for a BUCS Administrator to join a dynamic organisation. East London Sport is a University service which represents the interest of the students at UEL and supports the wider student experience through extra-curricular activity.
Job Purpose: In this role you will provide efficient and effective administrative support to the Sports Development team. This post holder will support in the administration of British Universities and Colleges Sports (BUCS) and develop processes to facilitate the smooth running of student activities and opportunities.
Key Duties And Responsibilities:
- Provide operational support to our sports clubs that enables them to both fulfil and host British Universities and Colleges Sport (BUCS) and Non-BUCS fixtures against other universities, including the organisation of transport, kit laundry, affiliations, accommodation, facility bookings, registering individuals and teams for competitions and submitting results.
- Be the first point of contact for all BUCS queries from students, stakeholders, partners and other Universities in relation to club administration, fixtures, participation and workforce development queries.
- To be available on-call during BUCS Wednesdays, including the evening, and weekend BUCS fixtures to support students in the event of any emergencies or issues.
- To arrange weekly transport to away BUCS fixtures and to sign teams attending away matches on to coaches.
- To organise and manage BUCS event entries, organising accommodation and transport where required.
- Support the Sports Development Officer with the organisation and development of Sports Clubs.
- Provide administrative support to various events and projects throughout the year, including our annual sports awards, the Challenge Cup and various promotional activities.
- Oversee the process of paying cash to Match Officials and student travel expenses and replenishing cash.
- Support the Sports Development team with monitoring and reporting requirements (including sports participation, club membership and workshop attendance).
- Work collaboratively across all areas of East London Sport to enhance and develop service delivery as well as to support colleagues at peak times.
- Attend London Regional meeting to support the development of participation across the region.
- This role may require work outside of the normal hours, for evenings and weekends. Sufficient notice will be given of this requirement.
Essential Knowledge, Skills, and Experience:
- Experience of British Universities and College Sport (BUCS)
- Experience of working in an administrative role
- Experience of working with University Students
Desirable:
- Understanding and experience of BUCS Play
- Experience of working with external organisations, individuals and companies
Competencies Required:
- Excellent oral and written communication
- Able to manage own workload, time and priorities
- Ability to work as part of a team and on your own initiative, without close supervision
- Strong IT skills, including an advanced level use of Excel, Word, PowerPoint and Outlook
- Approachable and empathetic
- Flexible and can adapt to changes in priorities
- Proven ability in organising personal workload
Education, Qualifications And Achievements:
- Educated to a degree level or equivalent
