The Health Informatics Centre (HIC) is a nationally recognised centre of excellence in the secure management, governance, and provisioning of health data for research. We work with academic, clinical, NHS, and industry partners across the UK and internationally, enabling health data research that delivers meaningful impact on health and wellbeing. HIC provides secure Trusted Research Environment (TRE) services and leads in information governance, security assurance, software development and data innovation. Our operations underpin critical research infrastructure and ensure HIC meets the highest standards of data security and governance.

The Role

We are seeking an organised, proactive, and detail-driven Operational Administrator to support the efficient running of HIC's operational and governance functions. This role is pivotal in maintaining administrative excellence, supporting information security compliance, advancing internal and external communications, and ensuring high-quality service delivery across the Centre. This is an excellent opportunity for someone who wants to build experience in research operations, information governance, compliance, and health data environments while contributing to impactful national programmes.

Key Responsibilities

  • You will support the effective operation of HIC by maintaining accurate ISMS documentation and compliance evidence for security and governance frameworks, ensuring registers, logs and controlled documents are up-to-date and audit-ready.
  • You will coordinate governance and operational meetings, including preparing and circulating papers, recording accurate minutes, and tracking actions to completion.
  • You will manage and refresh content for the HIC website and social media channels and contribute to internal and external communications including newsletters and announcements.
  • Working across the Operations Team, you will maintain central records and document repositories, support organisation of meetings, workshops and training sessions, assist with grant and project administration, and contribute to routine reporting and planning activities to ensure the smooth and secure running of HIC's operations.

  • Proven administrative experience in a busy professional environment
  • Excellent organisation and time-management, with the ability to prioritise competing demands
  • Strong written and verbal communication skills with a high level of accuracy and attention to detail
  • Confident IT user with proficiency across Microsoft Office tools
  • Ability to work both independently and collaboratively
  • Flexible, proactive approach and willingness to take initiative

Desirable

  • Experience supporting governance, compliance, or committee administration
  • Understanding of information governance, information security, or quality systems
  • Experience managing website and/or social media content
  • Experience in a higher education, research, NHS, or health-related environment
  • Familiarity with Jira, Confluence, or similar workflow/documentation systems
