This role involves providing first point of contact for students, staff, and visitors, managing Estate Services Helpdesk, reception, Car Parking, and Contractor Management queries using CAFM and Bookings software. Support the Estate Services Teams with administrative tasks and assist in contractor safety management.

Main Duties and Responsibilities include:

  • Responding to enquiries via phone, email, and reception, ensuring issues are addressed professionally and promptly.
  • Supporting the processing of car park permits, issuing keys, ordering uniforms, and maintaining records.
  • Implementing procedures for the effective operation of estate services, assisting with contractor liaison, and project management to ensure timely and budget-compliant delivery.
  • Managing parking bookings, maintaining the events master list, and liaising with departments for internal and external events.
  • Processing permit requests and managing databases for accurate staff deductions.
  • Handling cash and credit transactions, reconciling accounts, and processing invoices.
  • Arranging meetings, preparing agendas, and maintaining records.

Work Experience: Supporting large teams, providing customer-focused service, using IT for reports and document management.

Education/Qualifications: GCSEs including English and Maths, or equivalent; Microsoft qualifications preferred.

Skills/Abilities: Strong organizational skills, IT proficiency, excellent communication, flexibility, and ability to work independently and handle challenging situations.
