The post is for a Clerical Assistant in the Academic Services division, specifically Birmingham International Academy. The position is full‑time and will run from 22 June 2026 to 18 September 2026 at grade 3, with an hourly rate of £14.27 plus holiday entitlement.
Job Summary
The successful candidate will be a key member of the BIA Operations and Administrative Team, coordinating major administrative processes for the BIA summer programmes that support around 1,000 students and over 100 new teachers. The role involves operational oversight, workflow improvement, data quality assurance and high‑quality service delivery to staff and students.
Main Duties
- Lead the coordination of student attendance monitoring, ensuring accurate data capture and resolving discrepancies.
- Manage database integrity, ensuring accuracy so reports can be generated reliably.
- Check student application status and respond to standard emails.
- Conduct audits of Canvas courses and other BIA systems, identify issues and implement improvements.
- Assist in Student induction days, manage temporary staff and serve as the primary contact for queries.
- Serve as the main administrative contact for teaching staff regarding exam grades, ensuring smooth communication.
- Support exam activities, including auditing rooms and coordinating resits.
- Collate student marks and prepare exam board documentation.
- Prepare student reports.
- Administer teacher observations.
- Provide administrative support for internal CPD conferences and BIA events.
- Lead the production of CPD certificates.
- Produce accurate minutes for meetings and track follow‑up actions.
- Coordinate student surveys, analyse feedback and prepare summary reports.
- Handle complex staff and student queries, resolving issues without escalation where possible.
- Train sessional staff on administrative tasks as required.
- Provide reception cover when needed and act as a reliable point of contact for stakeholders.
Required Knowledge, Skills, Qualifications
- Evidence may be provided by GCSE Maths and English (or equivalent) A*‑C/9‑4 or equivalent qualification.
- Proficiency in Microsoft Office suite.
- Attention to detail and accuracy.
- Excellent team‑working and communication skills, both written and verbal.

Further Details
The role requires full availability to work 37 hours per week throughout the summer break. Applicants must be undergraduate, Masters, PhD or other students who can work full time hours during summer break. Consult the Worklink Portal for eligibility confirmation. All students are restricted to working up to 20 hours per week during term time for a maximum of 13 consecutive weeks unless a formal agreement with a supervisor allows more.
