Job Description

The role is for a Senior Administrator supporting the EPSRC Collaborative AI in Manufacturing Sustainability (Co‑AIMS) Hub, part of the School of Engineering.

Responsibilities

  • Deal with complex systems and procedures, offering advice and resolving queries independently.
  • Exercise judgment on response to queries or direction of work within manager’s parameters.
  • Maintain high‑profile working relationships with key stakeholders, fielding enquiries and disseminating information.
  • Organise events: book venues, send invitations, arrange refreshments, liaise with speakers, manage bookings, coordinate colleagues, advertise, collate feedback, and report back.
  • Manage smaller projects independently; conduct desk research and source data for wider projects.
  • Use complex University systems to research, analyse, and interpret data, producing bespoke reports and resolving data issues.
  • Support the management, development and implementation of operational processes and systems.
  • Process complex data (financial, HR, student‑related or other), monitor accuracy, chase missing information, and resolve issues.
  • Provide specialist advice and training to colleagues on relevant activity areas.
  • Provide professional secretarial support to committees and meetings as required.
  • You may be required to be responsible for one or more of the following:
  • Monitoring budgets, processing payments, authorising expenditure, raising concerns where finances are not in line.
  • Procurement of goods and services through the University system.
  • Updating and writing content for the department’s communications (e. g. intranet, web pages).
  • Dealing with health and safety and facilities issues.
  • Arranging international visitor accommodations including visas and travel.
  • Monitoring internal procedures/compliance and ensuring they are followed and disseminated.
  • Support equality and diversity values, moderating behaviour to avoid discriminatory impact or bias.

Qualifications & Experience

  • Educated to A Level standard or equivalent Level 3 qualification, or relevant work experience evidencing the required skills and ability.
  • Minimum grade C/4 in Mathematics and English at GCSE or equivalent.
  • Highly proficient IT skills – complex electronic diaries, email, MS Office (Excel, Power Point) and experience with an enterprise resource planning package.
  • Ability to learn new IT skills and software quickly.
  • Proven ability to plan ahead, anticipate requirements and manage time effectively, progressing tasks concurrently to deadline.
  • Excellent written and verbal communication skills for diverse audiences.
  • Excellent interpersonal skills – inspiring confidence, commanding authority, delivering high‑quality customer service.
  • Professionalism, tact, diplomacy, and discretion handling sensitive information.
  • High initiative, personal judgement, resourcefulness, flexibility, and a self‑motivating approach.
  • Ability to work effectively in a large, complex organisation and develop an understanding of University operations.
  • Understanding of policy and procedures and their application.
