Role Summary
Your role will be to effectively deliver a range of projects and utilise your coordination and administrative skills to ensure the smooth running of PPIE activities across the HRC‑DDR. Working with the Public Involvement Lead, you will plan and deliver public meetings and events to showcase the Centre’s research to a range of people and communities. You will lead public involvement communications both internally and externally, support recruitment of new volunteers and liaise with our public contributors to accommodate their needs, maximising their ability to be involved in research. In addition, you will undertake a wide range of other administrative duties such as meeting planning and note‑taking, coordinating and delivering finance tasks, maintaining accurate PPIE records and organising a range of documentation and toolkits to be shared across our PPIE Community.
Main Duties
- Support Public Involvement project delivery and public involvement groups within an overall project or manage elements of larger projects or smaller projects on your own.
- Carry out public involvement planning activities.
- Support and chair public involvement groups and meetings where necessary.
- Manage volunteers.
- Identify milestones required to be adhered to.
- Develop and propose solutions for any issues.
- Recommend improvements to public involvement management.
- Prepare public involvement progress reports for project boards or other meetings.
- Assist in budgetary monitoring and management, including reporting.
- Assist with stakeholder management, developing and maintaining regular contact with public contributors, internal and external stakeholders to understand requirements.
- Assess and, if appropriate, escalates issues and risks.
- Contribute to developing public involvement communications plans, presentations and promoting the projects and outcomes of workstreams.
- Maintain an up‑to‑date knowledge of public involvement frameworks and principles.
- Determine short‑term priorities for own work, ensuring you maximise quality, efficiency and continuity.
- Assist in the evaluation and review of projects.
- Support the University’s sustainability agenda through resource‑efficient working.
- Promote equality and values diversity, acting as a role model and fostering an inclusive working culture.
- Maintain confidentiality and data protection principles and practices in accordance with policies and procedures.
- Any other duties commensurate with the grade.
Required Knowledge, Skills, Qualifications, Experience
- Educated to degree level (or equivalent qualifications). Where no equivalent qualification is held, significant practical relevant experience and expertise in a similar role will be required.
- Knowledge of Standards for Public Involvement in Research.
- Previous experience of supporting Public Involvement or engagement activity.
- Significant practical experience in a similar role, experience of using project management tools.
- Evidence of literacy and numeracy, with the ability to write clearly and to analyse information and data.
- Highly proficient IT skills, including MS Office suite (Excel, PowerPoint, Word, Outlook, Teams, Zoom).
- Ability to understand policy, processes and procedures, but also to recommend improvements and implement changes.
- Excellent analytical skills used to produce reports, identify issues and resolve them decisively.
- Excellent interpersonal skills; the post holder must inspire confidence and command authority with a range of colleagues and provide excellent customer service at all times.
- A high degree of professionalism, tact, diplomacy, and the ability to exercise discretion regarding the handling and management of confidential/sensitive information/issues.
- A high degree of initiative, personal judgement, resourcefulness, flexibility, and a self‑motivating approach.
- Ability to work effectively in a large, complex organisation, and to develop a good understanding of how the University and higher education institutions work.
