External Relations: Outreach Events Assistant

Grade: 5; Full‑time, Fixed Term contract up to 12 months.

Role Summary

The Outreach team at the University of Birmingham is looking for a recent graduate to join as an Outreach Events Assistant on a one‑year fixed‑term contract.

The role involves supporting the Outreach team in working with schools and colleges across the West Midlands and nationwide, hosting visits, delivering talks, and supporting the delivery of outreach events.

Main Duties

  • Deliver talking and presentations to school/college groups across the wider West Midlands area.
  • Provide information, advice and guidance on higher education and the University of Birmingham.
  • Prepare resources for school talks to suit the audience.
  • Liaise with contacts in schools and colleges to arrange visits.
  • Attend careers and higher education fairs across the region and partner organisations.
  • Lead on‑campus visits by school and college groups and prepare resources for students.
  • Support the general running of events, completing tasks in advance and ensuring smooth on‑day operation.
  • Assist Senior Outreach Officers with event administration, including promotional materials, social media, invitations, venue booking, and catering management.
  • Communicate via email with teachers and students, handling enquiries independently or escalating to senior colleagues.
  • Evaluate events and share feedback through Outreach systems, devising methods to capture attendee insights and making recommendations.
  • Record event statistics and measure against KPIs such as attendance rates and cost per head targets.
  • Support student recruitment events at the University including Open Days and general higher education fairs.
  • Support equality and diversity values, moderating behaviour to avoid unfair discriminatory impact.
  • Required Knowledge, Skills, Qualifications and Experience
  • Recent undergraduate degree from the University of Birmingham, or currently studying for one with a placement year at Birmingham.
  • Effective public speaker who can engage varied audiences.
  • Excellent communication skills with a high level of accuracy and attention to detail.
  • Excellent interpersonal skills when dealing with students, academic staff, external organisations, or office colleagues.
  • Confidence in liaising with different audiences including students, teachers and parents.
  • Proficient use of technology including Excel, Power Point, Zoom and Microsoft Teams.
  • Passion and enthusiasm for higher education, willing to share experiences with others.
  • Understanding of the widening participation agenda and university outreach teams.
  • Aptitude to prioritise workload, manage short‑term priorities and meet challenging deadlines.
  • Ability to work effectively in a large, complex organisation, understanding the university’s operations.
  • Empathy towards individuals from a wide variety of backgrounds.
  • Willingness and enthusiasm to travel to schools and colleges across the West Midlands and nationwide.
  • Awareness of safeguarding issues.
  • Willingness to work at events in the evenings and on weekends.
  • Valid driving licence and/or ability to drive independently.
  • Understanding of policy and procedures and how to apply them.
  • Understands the importance of equality and diversity in the workplace.
  • Ability to identify and respond to equality and diversity issues in line with relevant policies and procedures.

Desirable

  • Previous experience working with young people.
  • Previous experience promoting the University of Birmingham, e. g. as a Student Ambassador or working on Open Days.
  • Previous experience participating in a Pathways to Birmingham programme before studying at Birmingham.
  • DBS Required

The University requires a satisfactory DBS clearance before appointment for all successful applicants due to the nature of the work in this role.
