University of Birmingham Enterprise Ltd is seeking an enthusiastic Operations and Productivity Administrator to project manage a programme of workflow improvements, and provide operational and administrative support to the CEO, COO and wider company Senior Management Team. This is a fixed-term post for one year.
Responsibilities:
- Project manage a programme of automated, rule-based workflow improvements to improve administrative productivity, working with team leads to identify workflows that will benefit from automation.
- Design and implement appropriate productivity tools or systems to help structure complex projects and document knowledge.
- Provide demonstrations of the tools and systems to end users.
- Provide administrative support to the company Senior Management Team.
- Undertake office management and general administration duties.
- Support the Operations team in organising meetings and events and greeting visitors.
Qualifications and Requirements:
- Experience of representing a professional services organisation, with effective and diplomatic communication skills and the confidence to interact with people at all levels of seniority.
- Skills in workflow productivity and automation tools (e.g., Loop, MS Projects, Power Automate).
- Strong skill in the use of Microsoft 365 packages, with the ability to quickly learn and adapt to other IT systems.
- Knowledge of AI use in a working environment (e.g., Copilot).
- Effective and diplomatic written and oral communication skills.
- Aware of UK GDPR and data protection requirements.
To be considered for this full-time role, you should be able to work flexibly within a diverse business unit. Ideally, you will have prior experience representing a professional services organisation and be willing to undertake customer-facing/front-of-house duties. We expect very strong IT skills and the ability to implement workflow productivity and automation tools and demonstrate them to end users clearly. You should be a strong team player with excellent written and verbal skills and the ability to maintain accurate and up-to-date records.
The salary is in the range of £30,000–£32,000 per annum, depending on experience.
