Background
You will work as part of the Birmingham Business School Careers team, reporting to the Postgraduate Careers Consultant and working with the BBS Careers Manager.
Role Summary
The BBS Careers Administrator supports delivery of careers administration, planning, finance, and communication processes across the School, College of Social Sciences, and University. The role involves administrative support, finance/purchasing, promotion of student events, internal communication, and design and delivery of employability programmes and events for undergraduate and postgraduate students in the UK, Singapore, and Dubai.
Main Duties
- Provide autonomous administrative support to the BBS Careers team, ensuring timely assistance with student and business enquiries, documentation preparation, supplier liaison, social media content creation, website maintenance, reporting, and market research.
- Deliver communications to students across multiple channels, including newsletters, Canvas announcements, and social media posts.
- Assist team members with administrative tasks such as purchase orders, supplier liaison, meeting notes, travel arrangements, and database updates.
- Provide face‑to‑face and electronic support via the Careers reception desk, telephone, email, and social media to deliver exemplary service to students and visitors.
- Represent Birmingham Business School at events as required.
- Work in accordance with data protection, health and safety guidance, and university policies and procedures.
- Adapt to changing responsibilities in line with the Careers team and School priorities.
- Attend to some evening and weekend work as needed.
- Work flexibly from campus or home as work demands.
- Ensure excellent customer service standards and highlight issues that may affect objectives and deadlines.
- Participate in relevant meetings within Birmingham Business School.
- Operate university policies and procedures across all activities.
- Maintain strong communication and affiliations across BBS Careers, wider school, CoSS college teams, and Careers Network.
- Undertake any other duties commensurate with the post grade as defined by BBS Careers Managers, Careers Consultants, or other School Managers.
Essential Qualifications and Skills
- Educated to at least A Level standard or equivalent level 3 qualification (e.g., Level 3 NVQ, Level 3 National Diploma or equivalent experience).
- Minimum of grade C in Mathematics and English at GCSE or equivalent level 2 qualification.
- Demonstrable experience working in a customer‑driven environment with corporate clients.
- Excellent writing skills for producing written communication for diverse audiences.
- Ability to coordinate physical, virtual, and hybrid events, liaising with third parties to deliver services.
- Proficient in Microsoft Office, experience with customer relationship management systems, and quick learning of new software to improve operational effectiveness.
- Strong teamwork or independent project skills, excellent attention to detail, interpersonal, organisational, and communication skills.
- Demonstrated commitment to exceptional customer service standards and suggestions for service enhancements.
Desirable
- Experience working within a higher education environment.
- Experience with social media such as LinkedIn and creating engaging newsletter/email content.
