Position Details

Department: Inflammation and Ageing, School of Infection, Inflammation and Immunology, College of Medicine and Health.

Location: University of Birmingham, Edgbaston, Birmingham, UK.

Grade: 4. Full time with starting salary £27,546–£29,171, progressing to £32,595. Part‑time 28 hours per week. Permanent. Closing date 26th May 2026.

Role Summary

Provide proactive administrative support in the department, working independently or as part of a team. May work across different areas of the department and wider University, developing technical and administrative skills and possibly leading specific tasks within the team.

Responsibilities:

  • Act as point of contact and provide accurate, timely information and advice to internal and external customers and stakeholders.
  • Communicate relevant information to students, staff and external contacts regularly.
  • Provide administrative support for diary or event planning.
  • Process data (financial, HR, student‑related or other), monitor accuracy, chase missing information and appropriately escalate issues.
  • Use complex University systems to research, manipulate, analyse and interpret data sets and produce routine reports.
  • Maintain relationships with key stakeholders and field queries, receive and deal with disputes or complaints, resolving promptly.
  • Offer advice and support to others on area of activity.
  • Review processes, tasks and proactively suggest improvements and share best practice.
  • Provide professional secretarial service to relevant committees and meetings as required.
  • Support equality and values diversity, moderating behaviour to avoid unfair discriminatory impact or bias.

Requirements:

  • Evidence of the skills and ability to undertake the role.
  • GCSEs at least grade C/4 in English and Mathematics (or equivalent level 2).
  • Good IT skills and working knowledge of standard Microsoft Office.
  • Ability to take responsibility for specific tasks and work independently.
  • Ability to work on own initiative and proactively contribute to improving processes.
  • Excellent communication skills, clear and effective with others.
  • Well organised, ability to prioritise proactively, independently and as part of a team.
  • Good understanding of delivering excellent customer service.
  • Experience of using and maintaining complex work systems (student databases, finance record systems, HR systems or equivalent) and ability to learn new IT packages.
  • Experience of supporting committees in a secretarial capacity.
  • Ability to cope with change in a fast‑moving, dynamic environment where change is often required immediately.
  • Understanding of equality and diversity importance in the workplace.
  • Ability to identify and respond to equality and diversity issues in line with relevant policies and procedures.

Dimensions:

No line management or budget management responsibilities.

Planning and Organising:

Manage and prioritise a varied workload and maintain awareness of activity across the department and wider University.

Problem Solving and Decision Making:

Work under senior manager direction but with autonomy to deliver required outputs and use existing policies, processes and procedures. Make day‑to‑day decisions on advice and query resolution.

Internal and External Relationships:

Maintain good working relationships with internal colleagues, stakeholders, external stakeholders and liaise accordingly.
