The University Medical Centre in Bath is looking for two enthusiastic, confident and reliable full-time Patient Care Coordinators / Medical Receptionists to join our friendly GP Practice team. The roles are permanent and we are looking for the successful candidates to join us as soon as possible. Having worked in General Practice or in a similar health care organisation is helpful but it is not essential as full training will be provided by our in-house team.
The role involves face to face interaction with the public, over the telephone and managing communications via email and online systems. Hours and shifts will be discussed at the interview stages and the successful candidates will need to be available to work a flexible shift pattern to support a combination of early shifts, usually from 08:00-16:00 and later shifts from 10:00-18:30 across a weekly rota schedule. Starting salary will be based on experience, but will not be less than a minimum of £12.71 an hour and will be reviewed at six months.
Main duties of the job include:
- Acting as the first point of contact at the practice to offer support and advice to help signpost patients and service users to the appropriate health care services.
- Becoming familiar with practice and local community services and having contact with a wider team to ensure effective and efficient utilisation of current patient pathways.
- Supporting the reception and general administrative team to help in the booking of patient appointments.
- Providing general assistance to the general practice team and projecting a positive and friendly image to patients and other visitors, both in person and via the telephone.
- Booking of appointments, taking telephone enquiries and ensuring the smooth running of the clinical day to day surgeries whilst working on the front desk in the Practice.
- Performing a variety of administrative tasks including the registration of new patients, managing incoming and outgoing mail and communications, processing repeat prescriptions and processing data entry and recording information in line with Practice guidance and policy.
About us: The University Medical Centre is an NHS GP Practice based on North Road in Bath. The Practice has a large patient population comprising mainly of University students and staff and we also have a small number of patients from the local residential population. We are a small but friendly team and offer an Employee Assistance Programme and NHS pension.
Job responsibilities include:
- Acting as the first point of call for all patient enquiries and ensuring an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Dealing with all general enquiries, explaining procedures and making new and follow-up appointments, signposting to appropriate services and recording requests for home visits.
- Being responsible for the scheduling of appropriate clinical consultations and using judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explaining Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensuring procedures are completed.
- Developing and maintaining a clear understanding and knowledge of the local services and availability to ensure effective and efficient use of the appropriate practice teams.
- Actioning repeat prescription requests, preparing lists and notes for all surgeries and clinics held, ensuring completion of all associated paperwork.
- Advising patients of relevant charges for private non-NHS services, accepting payment and issuing receipts for same.
- Entering new patient registrations on to the IT clinical system (TPP / SystmOne).
- Updating the clinical system for patient changes of registration status as notified.
- Requesting patient registration deductions from the clinical system as appropriate.
- Undertaking any other additional administrative duties appropriate to the post as requested by the Partners or the Practice.
