Job summary

We are looking for an enthusiastic MDT (Multi-disciplinary Team) Administrator who will be responsible for the administration of the Complex Arthroplasty multidisciplinary team meeting, the fragility MDT, and evolving sub-specialty MDTs including referrals into the weekly MDT meeting, onward referrals both internally and externally to the major revision centre, the collection and management of all data related to the delivery of the MDT services, and the administration of the MDT databases as well as the Bone and Joint Infection Registry (BAJIR) and NJR (National Joint Registry). This exciting new position will work closely with and involve liaising directly with patients to obtain complex and sensitive information.

The post holder will function as the focal point for the multidisciplinary team and will be an essential and integral part in the smooth running, administration, and organisation of the Complex Arthroplasty MDT service. This unique administration role requires flexibility, diligence, initiative, and excellent communication skills.

The post holder will provide a full and efficient secretarial service to consultants and clinical teams, including an assigned specialist practitioner.

Key responsibilities include:

  1. Audio typing, personal dictation, and management/screening of voice recognition outputs.
  2. Ensuring that all documentation (e.g., discharge summaries, operation notes, reports) is produced to an excellent standard.
  3. Participating in the collection and inputting of data for audit, monitoring, and research purposes, including management of patient questionnaires and data for local and national registries.
  4. Implementing any new databases or data collection required for the management of the service or network.
  5. Acting as a point of contact for Complex Arthroplasty data queries.
  6. Assisting clinical teams with the production of reports for governance meetings and collection of data for audit purposes.
  7. Participating in the administrative coordination of the MDT (including preparation, coordination, documentation, and follow-up of all administrative actions from the MDT meetings).
  8. Establishing a working knowledge of procedures and practices of the department, some of which are non-routine, including medical records systems and medical terminology.

Person specification

Qualifications

  • Minimum of 3 qualifications to include GCSE grade A-C/4-9 or equivalent in Maths and English.
  • RSA III Typing or equivalent.
  • Audio Typing qualification or equivalent experience.

Experience

  • Ability to liaise and communicate with staff at all levels.
  • Excellent interpersonal & communication skills, demonstrating empathy & sensitivity to patients and relatives.
  • Ability to promote good working liaisons (staff, patients, relatives).
  • Ability to manage complex enquiries – distressed & anxious patients.
  • Ability to deal with challenging behaviour.
  • Ability to provide excellent customer care.
  • Knowledge of IT databases and computer systems.
  • Comprehensive PC skills – databases, word-processing, email, Excel.
  • Excellent telephone manner.
  • Previous clerical experience.
