Within Student Operations, Student Lifecycle Services is responsible for the systems, processes and data that underpin key stages of the student journey, from enrolment through to graduation. The Student Lifecycle Team plays a critical role in maintaining the accuracy and integrity of student records and ensuring that UCL meets its regulatory and academic requirements.
About the role
We are looking for an experienced Student Lifecycle Manager to lead a team responsible for the effective management of student records throughout the student lifecycle. You will oversee key processes including enrolment, module selection, assessment marks, progression, awards and the publication of results, ensuring that records are accurate, timely and compliant with UCL regulations.
A key part of the role will be working in partnership with Schools, Faculties and colleagues across Student and Registry Services. You will provide expert advice and guidance on student record-keeping, support the implementation of regulatory and process changes, and ensure colleagues understand the impact of changes on Portico and the wider student lifecycle.
You will also provide leadership across the wider record-keeping function, influencing colleagues beyond your immediate team and supporting a consistent, joined-up approach across UCL. This will include leading specific workstreams, delivering training and development sessions, and contributing to a community of practice focused on student record creation and maintenance.
With responsibility for a team of Senior Administrative Staff and Student Lifecycle Officers, you will provide effective leadership, supporting performance, development and continuous improvement. You will also play an important role in maintaining data quality and supporting system development. This will include overseeing testing of new functionality and scheduled upgrades to Portico/SITS, developing and analysing reports, identifying data integrity issues and ensuring appropriate processes and procedures are in place.
This is an influential role within a complex Higher Education environment and will suit someone who enjoys combining operational leadership, specialist student lifecycle knowledge, stakeholder management and continuous improvement. Please note, this is a full-time role offered on a hybrid working basis with currently a minimum of 40% onsite working (subject to change) at our Bloomsbury campus, London Kings Cross office.
About you
You will have substantial experience of working within a Higher Education student records or student administration environment, with expert knowledge of the student lifecycle and the interdependencies between its different processes. You will have strong experience of using SITS or an equivalent student information system, together with a detailed understanding of student record data and its configuration and management within a large, multi-faculty university.
You will be an experienced people manager, with the ability to lead, develop and motivate a team while also influencing colleagues and stakeholders beyond your immediate area. You will be confident working collaboratively with academic departments, Faculties and professional services teams, and able to build effective relationships across a complex organisation.
You will have a proven ability to lead and implement service improvements, from identifying and scoping changes through to implementation. You will be comfortable facilitating workshops and training sessions, communicating complex information clearly to different audiences and supporting colleagues through changes to processes and systems.
Strong analytical and organisational skills are essential. You will be confident working with large and complex datasets, identifying issues and using information to support effective decision-making and data quality. You will bring a proactive, practical approach to problem-solving, with excellent attention to detail and a commitment to delivering a high-quality, student-focused service. You will be able to manage competing priorities, work calmly under pressure and use your initiative to find effective solutions.
You will also have excellent written and verbal communication skills and the ability to make sense of complex issues, even when information is incomplete. Most importantly, you will be collaborative, adaptable and committed to improving the student experience through effective student lifecycle services.
