About us
UCL is a world-leading teaching and research university, committed to taking on some of the hardest global challenges. At UCL, our Professional Services colleagues play an essential role in enabling our students, staff and academic community to thrive.
Student and Registry Services (SRS) is one of the larger Professional Services divisions at UCL, providing essential services to UCL’s 48,000 students, 160,000 applicants and supporting academic departments and administrative staff in delivering a high-quality student experience.
The Information Services Division (ISD) is the primary provider of IT services to UCL. We support and enhance learning, teaching, research and administrative processes by providing information- and technology-related services to over 50,000 staff and students of UCL and associated institutions.
Within ISD, the Student Lifecycle Change Portfolio is part of the Portfolio and Product Delivery department. The postholder will support SRS-related product teams within the Student Lifecycle Change Portfolio. The teams are responsible for optimising processes related to student achievements and administration, and for the development of UCL’s Portico (SITS) platform to better improve the student and staff experience.
About the role
We are seekingtwo Functional Analysts to support SRS-related product teams and play a key role in enhancing UCL’s student lifecycle processes and systems.
Working closely with colleagues across the University, you will analyse current ways of working, identify opportunities for improvement and help design effective ‘to-be’ processes within our SITS (Portico) platform. You will work with stakeholders to understand business needs, identify problems and their underlying causes, gather requirements and develop clear system requirements and acceptance criteria.
You will support change from scoping through to implementation, collaborating with technical teams, business analysts, developers, testers and service users to ensure solutions are clearly defined, appropriately documented, rigorously tested and delivered effectively. You will also facilitate discussions and working groups, help stakeholders evaluate different options and support agreement on the preferred approach.
This is an exciting opportunity to contribute to meaningful change that improves the student and staff experience at one of the world’s leading universities. You will have the opportunity to apply your expertise in student record systems and processes to complex, university-wide change, helping to shape the continued development of UCL’s student lifecycle services.
Please note, both of these roles are offered on a full-time fixed-term contract basis (also available for secondment) for 12-months in the first instance. These roles will be based onsite for currently a minimum of 1-2 days per week in our London Kings Cross office (subject to change). Please note, this is an internal recruitment advert, available to eligible UCL workers only.
If you have any queries about the role, please contact Kirsten Hamilton at: k.hamilton@ucl.ac.uk or Sue Walker at: sue.walker@ucl.ac.uk
Job Ref: B06-00215
Closing Date: 27-10-2026 – 23:59 (UK time)
About you
You will bring strong analytical and problem-solving skills, with experience of understanding complex business processes, identifying opportunities for improvement and translating business needs into clear, actionable requirements. You will have extensive knowledge of student record management processes and ideally experience using Tribal SITS, within a large, complex or multi-faculty Higher Education institution.
You will be a confident communicator and skilled stakeholder manager, able to liaise and negotiate with colleagues at all levels to understand requirements, challenge existing ways of working and develop effective solutions. You will be comfortable explaining complex business and process concepts clearly to a range of audiences and building productive relationships across organisational boundaries.
Organised and adaptable, you will be able to manage competing priorities and time-critical schedules while maintaining a strong attention to detail. You will enjoy working collaboratively with technical and business colleagues, sharing your knowledge and contributing positively to team delivery.
You will be motivated by continuous improvement and excited by the opportunity to use technology, processes and data to enhance services. Most importantly, you will take pride in delivering an excellent service to colleagues and students, making sense of complex issues even when information is incomplete and contributing to positive change across UCL.
If you are passionate about enabling high-quality student services through effective processes and systems, we would love to hear from you.
