The Events Sales Coordinator supports the Sales & Events team in driving event inquiries, converting leads, and delivering seamless event experiences for clients. This role is responsible for administrative support, client communication, event coordination, and ensuring accurate handovers to operational departments. The Events Sales Coordinator helps maximise revenue and maintain high service standards aligned with hotel brand expectations.

THE DUTIES

  • Handle incoming corporate enquiries, prepare proposals and contracts, and conduct site inspections when required.
  • Compile accurate function sheets (BEOs), distribute them weekly, and review details with the Operations Team, providing updates as needed.
  • Request deposits and payments, ensure they are received within contractual timelines, and complete all related postings accurately.
  • Support the Sales team when needed, including managing enquiries, leading show rounds, and assisting with additional tasks.
  • Ensure all events run smoothly by using the hotel’s systems to generate clear function sheets and by liaising closely with operational departments prior to handover.
  • Maintain a strong conversion rate by effectively turning enquiries into confirmed event bookings.
  • Build excellent relationships with event organisers to understand and deliver their event vision.
  • Respond to all event enquiries promptly and follow up in a timely, professional manner.
  • Develop repeat and future business by nurturing relationships with both new and existing clients.
  • Maximise sales and revenue through effective conversion and strategic upselling.
  • Attend daily and weekly meetings as required.

WHAT ARE WE LOOKING FOR IN YOU

  • Previous experience in hotel events, sales, or hospitality is desirable.
  • Strong communication and organisation skills.
  • A proactive, detail-focused approach with the ability to multitask.
  • Confidence in building client relationships and upselling services.
  • Competency with Microsoft Office; experience with hotel systems (Opera/Delphi) is a plus.
  • Competent level of English spoken and written.
  • Detail-oriented, organised, and capable of handling multiple tasks at the same time.
