Universal Packing Specialists creates bespoke cases and packing solutions for an extraordinary range of items, helping customers transport them safely across the UK and around the world.

Based near Heathrow Airport, Universal is a second-generation family business with more than 37 years’ experience in Case Making, Export Packing and Dangerous Goods. Every job is different, every case is made to order and getting the details right really matters.

As the business continues to grow, we are recruiting two Order Processing Coordinators to join the team.

This is more varied than routine order entry. You will learn about the unusual items our customers need to protect, work closely with the teams who make and pack the cases and help turn customer requests into accurate orders.

You do not need previous Case Making or Packing experience. Full training will be provided, so if you are curious, detail-conscious and enjoy learning how things work, we would like to hear from you.

The Opportunity

You will respond to customer enquiries, prepare straightforward quotations and process orders for our bespoke Case Making and Packing services.

Because every job is different, you will sometimes need to clarify measurements, terminology or how an item needs to be packed. You will work closely with the Operations Manager and operational teams, escalating more complex enquiries while keeping the customer informed.

Full training will help you understand how our cases are made and packed. As your knowledge develops, your role may become more focused on either Case Making or Packing coordination, depending on your strengths and the needs of the business.

Key Areas of Focus

  • Responding to customer enquiries by email and telephone
  • Preparing straightforward quotations and processing confirmed orders
  • Recording dimensions, quantities, timescales and customer requirements accurately
  • Checking that measurements and specifications are complete and make practical sense
  • Asking questions when information is missing, unusual or unclear
  • Learning the preferences and terminology used by repeat customers
  • Working closely with operational colleagues and escalating complex enquiries appropriately
  • Managing changing priorities while keeping customers informed and orders moving

About You

You naturally check the details, ask sensible questions and want to understand how things work. You can work at pace without becoming careless and are comfortable seeking clarification rather than making assumptions.

You are likely to bring:

  • Experience in administration, customer service, order processing, operational support or a similarly coordinated role
  • Experience handling detailed information and translating it accurately into orders, quotations, bookings or practical instructions
  • Strong attention to detail, particularly when working with measurements, quantities or written requirements
  • Practical reasoning, including the ability to interpret dimensions, visualise an item and sense-check information
  • Clear and confident communication by email and telephone
  • The ability to organise changing priorities and remain calm and helpful under pressure
  • A proactive, collaborative approach and the ability to learn and apply new information
  • Experience in manufacturing, freight, logistics, engineering or another practical or product-based environment would be useful, but it is not essential. CAD or technical drawing experience would also be helpful but is not required.
  • This could suit someone already working in order processing, sales administration, manufacturing support or freight administration. It could equally suit someone with strong transferable skills who is ready to move into a more unusual and interesting environment.

Working Pattern and Reward

This is a permanent, full-time, office-based role at Universal Packing Specialists in Hayes, West London.

Hours: 10:00am–6:00pm, Monday to Friday
Salary: £30,000–£32,000 per annum, depending on relevant experience

You will receive structured product and process training, including practical learning with the Case Making and Packing teams. As Universal continues to grow, there will be opportunities to develop your knowledge and take on broader responsibilities.
