The Company Secretarial Assistant provides full company secretarial and general administrative support to the Group Company Secretary.
Contract: 6 months, with potential to convert to permanent.
Main Duties:
- Assist with maintenance of statutory companies through Diligent Entities.
- Support Company Secretary in ensuring timely and accurate filing of changes in directors and other statutory documents with Companies House and other regulatory bodies.
- Ensure all statutory deadlines are complied with, including preparation and filing of confirmation statements.
- Provide general administrative support and diary management.
- Coordinate with other departments on company secretarial matters.
- Manage the company’s compliance calendar.
- Liaise with the Finance team, auditors, directors and others in preparation of financial audit.
- Disseminate communications for Company Secretary promptly.
- Liaise with external notaries and lawyers in organising notarisation of documents.
- Provide statutory/corporate information to internal and external contacts.
- Assist with health & safety and insurance matters for events.
- Carry out any other duties as directed by the Company Secretary.
Qualifications / Experience Level:
- Graduate level or intention to undertake the Chartered Governance Institute Qualification; CGI study support will be provided if required.
- Knowledge of company secretarial software (e.g., Diligent Entities).
- Ideally some experience working in a Legal or Company Secretarial department.
- Excellent understanding of the work of a Company Secretary.
- Proficiency in standard business tools (Microsoft Office, PowerPoint (very important), Adobe Acrobat).
- Strong attention to detail, communication and organisational skills.
- Ability to maintain confidentiality with a high degree of discretion.
- Strong ownership and urgency in handling tasks.
- Flexibility to deal with changing priorities.
- Very professional, mature in approach and level‑headed.
- Ability to work well and keep calm under pressure.
- Effective communicator with excellent interpersonal skills.
- Ability to use initiative and act on information appropriately.
