The UK Property Services department oversees most of the building and facilities services across Universal Music Group’s UK property portfolio. Our mission is to deliver a dynamic and innovative service that goes above and beyond. The Property Services Assistant will be permanently based at Universal Music 4PS Site but may also be required to visit other UMG owned or affiliated sites as required.

Skills & Experience

  • Be Passionate About Service: Deliver a friendly and welcoming service for all staff and visitors when working at the Help desk, Engineering team and Events. Ensure all property services guests are greeted, made to feel welcome and managed in the appropriate manner. Assist the Property Services Supervisor with escorting sub-contractors checking mailbox/admin, including; AV meeting room management, 4PS event Space. Answer all inquiries in a professional and friendly manner.
  • Be Organised: Follow up systems and procedures. Work with the AV Department on installs and fault finding. Support the events team in setting up meeting rooms and event space. Cover the Property services help desk when required. Assist in decorating works as required, picture hanging, general fabric works. Assist on fabric engineers on various tasks including office and desk moves. Always be punctual for your shift and, in the event of any delay, inform your line manager. Plan and stay organised. Conduct floor walks – landing bar checks – wc checks. Excellent diary management. Independently remain up to date with systems and procedures within the Property services helpdesk, AV support and Site Engineers so you can always support the relevant team.
  • Be Collaborative: Support the Property Service Management team as required. Cover shifts when required for switchboard, post room, helpdesk, and events mailbox. Provide administrative support as needed; e.g. minute taking, admin tasks, projects. Liaise with all services including cleaning, security, catering when required.

Person specification: People person with excellent verbal, written and presentation skills. Excellent time management. Ability to work effectively both independently and as part of a team. Ability to multi-task, e.g. managing tasks emails whilst working with the help desk team. Good working knowledge of the business and building is desirable. Knowledge of file management, transcription, and other administrative procedures.
