The Office Administration Assistant plays an important role in supporting the smooth day-to-day running of Universal Coatings (UK) Ltd. This position provides essential administrative and organisational support to the wider team, helping ensure efficient operations across the business. As the first point of contact for visitors, callers, and written communication, the role requires a professional and approachable manner that reflects our values of quality, trustworthiness, and reliability. The successful candidate will be confident interacting with a range of stakeholders, including clients, employees, suppliers, and the general public. This is a varied support role, and flexibility is key to meeting the changing needs of the business.
Key Responsibilities
- Liaise with suppliers to track and expedite deliveries to the works and project sites
- Provide a warm, professional front-of-house service to visitors and handle incoming calls efficiently
- Make outbound calls to clients to follow up on enquiries, provide updates, and support customer relationships
- Assist with arrangements of business travel, accommodation, and assist with planning company events
- Maintain and update the Breathe HR system, including attendance, holidays, and training records
- Support the upkeep of Quality Management System (QMS) documentation and assist with audits where required
- Carry out general office administration duties such as filing, managing stationery and consumables, and maintaining notice boards
About You
- Strong organisational and administrative skills
- Confident communicator with a professional telephone manner
- Able to manage multiple tasks and prioritise effectively
- Proactive, flexible, and team-oriented approach
- Comfortable using office systems, Xero and HR software (training provided if needed)
