This role is based in Central London (Premium-Heritage site) combining front desk service with professional administrative and facilities support, ensuring the smooth operation of the building while upholding the highest standards of presentation, security, and compliance for our office and retail customers.
You will support the Facilities Management function by liaising with contractors, overseeing service delivery, maintaining statutory compliance, and managing communal building amenities, including rooftop terraces, gyms, and end-of-trip facilities—contributing to the overall excellence and reputation of the building.
Key Responsibilities
Front of House Excellence
- Serve as the building’s ambassador, creating a welcoming and professional first impression for all occupiers, clients, and guests.
- Deliver high quality service at all times, ensuring all queries and concerns are resolved efficiently and discreetly.
- Maintain the appearance and atmosphere of the reception area to premium standards.
- Professionally manage all incoming calls, emails, and in-person queries.
Building & Facilities Operations
- Conduct regular, detailed site and property inspections to ensure cleanliness, safety, and presentation are maintained.
- Log and report any maintenance issues or service concerns through the Unity CAFM system.
- Monitor compliance with health, safety, and environmental standards in line with Unity policies and statutory obligations.
- Support the Facilities Manager in delivering operational excellence and ensuring the building’s smooth day-to-day running.
Occupier & Contractor Liaison
- Foster strong working relationships with customers, understanding their needs and responding to service requests promptly.
- Coordinate with contractors and service providers, ensuring quality, compliance, and minimal disruption to tenants.
- Manage and monitor contractor activity on site, including issuing and controlling Permits to Work.
- Support delivery of building services (cleaning, security, M&E) to ensure high levels of satisfaction and performance.
Security, Access & Amenities Management
- Administer and control the building’s key and access systems, including fob issuance and logging.
- Manage CCTV and Access Control in line with building protocols and data privacy policies.
- Oversee amenity areas such as event spaces and gym facilities, ensuring availability, cleanliness and smooth operations.
Administrative & Compliance Support
- Maintain accurate site documentation, compliance records, incident reports, and asset logs.
- Assist with statutory compliance processes, including fire safety, first aid, and accident reporting.
- Evaluate service delivery performance and help ensure that occupiers receive best-value support.
- Provide ad hoc administrative support to the FM team and contribute to continuous service improvements.
Candidate\’s profile
Essential Skills & Experience
- Proven track record in a front-of-house or concierge role within a high-end commercial environment.
- Outstanding customer service and interpersonal skills, confident dealing with corporate occupiers and senior stakeholders.
- Strong organisational abilities with attention to detail and the ability to multitask under pressure.
- Proficient in Microsoft Office and quick to learn bespoke systems (e.g. CAFM platforms).
- Professional personal presentation, excellent verbal and written communication.
Desirable Experience
- Previous experience within a premium London commercial office or multi-tenant building.
- Understanding of facilities, property management, and service delivery standards.
- Familiarity with compliance systems, CAFM platforms, and contractor management.
