Our Holiday Home Sales operation plays a vital role in delivering an exceptional ownership journey, and we are looking for a highly organised and detail-focused Holiday Home Sales Administrator to support the smooth, compliant and professional running of the department. This role is the operational control centre of the Holiday Home Sales function - ensuring sales processes, stock control, compliance, finance administration and owner onboarding are managed accurately from enquiry through to handover and beyond.

About You

  • You’ll be highly organised, structured and confident managing multiple tasks and priorities in a fast-paced environment.
  • You’ll take pride in accuracy, administration and ensuring processes are completed to a high standard every time.
  • You’ll be confident working with systems, documentation and data, with strong attention to detail and the ability to identify discrepancies quickly.

Key Responsibilities

Sales Process & Administration
  • Support the smooth running of the Holiday Home Sales operation through accurate administration and system management.
  • Prepare, process and maintain all sales documentation and records.
  • Ensure contracts and paperwork are completed accurately and signed correctly.
  • Track the progress of holiday home sales from sign-up through to completion.
  • Support the wider sales team with operational administration and coordination.
Stock & Pitch Management
  • Ensure all holiday home stock is accurately recorded on systems with the correct location, pricing and status.
  • Manage stock movements and ensure system updates reflect operational reality.
  • Carry out regular stock checks and reconcile discrepancies.
  • Ensure pitch availability and siting information is maintained accurately.
  • Support the management of siting sheets and stock allocation processes.
Compliance & Financial Administration
  • Ensure all sales files are compliant, complete and audit-ready.
  • Support finance and FCA compliance processes in line with company requirements.
  • Maintain accurate finance, insurance and sales documentation.
  • Process deposits and payments accurately onto systems.
  • Work closely with Finance teams to support reconciliation processes.
  • Maintain secure digital and physical filing in line with GDPR requirements.
Handover & Owner Experience
  • Coordinate owner welcome meetings and holiday home handovers.
  • Prepare all documentation required for handover appointments.
  • Ensure all monies, documents and compliance checks are completed prior to key release.
  • Support a smooth transition from Sales to the Owners Team.
  • Log aftersales requirements and ensure information is handed over accurately.
Coordination & Operational Support
  • Liaise with internal departments including Maintenance, Owners, Finance and Operations to support holiday home readiness.
  • Ensure units are fully prepared ahead of handover.
  • Monitor outstanding actions and proactively resolve issues.
  • Maintain an organised, professional and welcoming sales office environment.
  • Support the wider team during busy operational periods.

Hours of Work

Flexibility will be required in line with the operational needs of the business, and peak trading periods where required. But full time weekend cover is essential.
